Summary

Processes civil, eviction, and criminal case filings, issues legal documents, and maintains court records while providing procedural information to the public.

Performs specialized judicial case-processing and court-administration duties in a high-volume justice court. Reviews, accepts, processes, and maintains civil, eviction, and Class C criminal filings and court records in accordance with applicable statutes, procedural rules, court orders, and established policies. Issues citations, notices, subpoenas, writs, and other legal process; schedules hearings and trials; records judicial actions; monitors statutory and procedural deadlines; processes judgments, appeals, and post-judgment activity; collects, applies, reconciles, and reports court fines, fees, costs, bonds, and other funds; and maintains the accuracy, security, confidentiality, and legal integrity of official court records. Provides procedural information and customer service to litigants, attorneys, law-enforcement agencies, and the public while maintaining court neutrality and avoiding legal advice. Exercises independent judgment within established legal and administrative requirements, identifies matters requiring judicial or supervisory review, and performs work under general supervision.

  1. Reviews, accepts, processes, and maintains civil, eviction, and Class C criminal case filings and official court records in compliance with applicable rules, laws, court orders, and procedures.
  2. Prepares, issues, and processes citations, notices, warrants, writs, subpoenas, judgments, and other court documents and legal process.
  3. Records judicial actions, schedules proceedings, monitors deadlines, and processes service returns, appeals, post-judgment matters, and case dispositions.
  4. Provides accurate procedural information and resolves case-related inquiries from litigants, attorneys, law enforcement, other agencies, and the public while maintaining neutrality and avoiding legal advice.
  5. Collects, applies, reconciles, safeguards, and reports fines, fees, costs, bonds, and other court funds in accordance with financial controls and audit requirements.
  6. Maintains the accuracy, confidentiality, security, and legal integrity of court records; exercises administrative judgment; identifies discrepancies; and refers matters requiring judicial or supervisory review.

Education, Experience and Training:
Graduation from an accredited high school/GED program. Two (2) years job related experience or 30 hours of college or a combination of the two. Experience in a customer service environment a plus.

Special Requirements/Knowledge, Skills & Abilities:
Ability to type 30 wpm or 60 kspm, with knowledge of computer applications and standard word processing software. Candidates for all clerical, administrative and/or secretarial positions will be required to take and pass at least one skill(s) test(s) which will be determined by the Elected Official or Department Head based on the position and the operational needs of the department. Testing may include one or more of the following: 10-key, Coding, Data entry, Filing, Grammar, Math, MS Excel, MS Word, Proof Reading, Spelling, Sorting, Timed Typing (3 minute). Ability to understand and follow written and verbal instructions, organize and process work and establish and maintain effective working relationships with other County employees and the general public.

Physical/Environmental Requirements:
May require prolonged sitting, standing, walking and ability to lift and carry up to 25 lbs. unassisted.
