About the Role
We’re looking for a highly organized, detail‑oriented, client‑facing Project Coordinator / Administrative Assistant to support a fast‑moving team delivering custom sustainability and education projects.
This role sits at the intersection of client delivery, internal project management, and content—making sure nothing drops and communication stays tight. You’ll own timelines, ensure project details are organized, coordinate resources, surface risks early, and keep projects moving without friction.
You’ll also contribute to light content creation, such as slides and short‑form copy tied to workshops and events. It’s ideal for someone who enjoys bringing structure to complexity, thinking creatively, and working closely with mission‑driven teams.
Responsibilities
- Own project timelines, task plans, and follow‑through across multiple internal and external projects
- Act as a primary coordination point for custom projects, tracking tasks, deadlines, and follow‑ups
- Build agenda and lead weekly internal team call to cover current and upcoming projects
- Keep internal teams aligned by maintaining task lists, project docs, and lightweight workflows
- Support project delivery with documentation, scheduling, and status updates
- Work comfortably across tools like Airtable, Asana, Google Workspace (Docs, Sheets, Slides), Slack, HubSpot, and ChatGPT
- Proactively flag risks, blockers, or missing information before they become issues (e.g., conflicting Asana tasks, missing project information in Airtable)
- Suggest lightweight process improvements when you see friction
- Support client‑facing communication via email, ensuring clarity, responsiveness, and attention to detail
- 2+ years in administrative, operations, project coordination, or delivery support roles
- Fluent in English, written and verbal
- Very strong written and verbal communication skills (clear, structured, grammatically‑correct client‑ready emails)
- Experience supporting multiple projects at once
- Comfortable being client‑facing, including video calls
- Extremely detail‑oriented and reliable with follow‑through
- Comfortable working async with distributed teams
- Fast and reliable computer and internet connection
- Ability to support Eastern Time Zone working hours (9am – 5pm ET)
- Strong slide hygiene and basic copywriting instincts
- Openness to starting part‑time and scaling responsibilities over time
- Experience in tech, education, sustainability, or custom client projects
- Work remotely from anywhere in LATAM
