Access Services Manager

Position Details

The Macdonald-Kelce Library at The University of Tampa has an opening for an Access Services Manager. Reporting to the Executive Director of the Library, the successful candidate has overall responsibility and accountability to direct daily access services, manage the primary front desk, supervise a staff of 5 full-time and 4 part-time employees, train and supervise Access Services student workers, and oversee the integrated library system (ILS) for check-outs, course reserves, interlibrary loan, fines, and stack maintenance.

Patrons often encounter Access Services first when they come to the library, and the Access Services Manager works with staff to provide a welcoming atmosphere to the UTampa Community.

Responsibilities

Leadership:

  • Provides strategic plans and goals for the Access Services team. Directs the team and helps them accomplish division goals.
  • Manages the activities of the Access Services Department, planning, implementing, administering, and evaluating projects and services impacting Library operations campus wide.
  • Provides budget input in assigned functional areas.
  • Participates in a variety of meetings, committees, consortia and/or other related groups to communicate information regarding services, information resources, continuing education opportunities, and/or other pertinent information as appropriate.
  • Ensures accountability and stewardship of campus resources (operational, financial, and human) in compliance with departmental standards and procedures.

Staff Supervision:

  • Supervises and leads the Access Services team, which includes 5 full-time and 4 part-time team members. Responsible for hiring, training, completing evaluations, and scheduling library staff.
  • Responsible for training Access Services for student employees and supervising work assignments.
  • Creates and maintains Access Services training materials for all library team members.
  • Lead projects including assigning tasks, monitoring quality and quantity of work, and prioritizing tasks.

Desk Operations and Services:

  • Has primary responsibility for the management and maintenance of the course reserves collection, interlibrary loan, stacks maintenance, new books, Access Services day-to-day tasks, fines/fees, lost items, computer lab and printers.
  • Manages the Circulation Desk, often serving as a first point of contact for patron questions, technology issues, locating materials and resources, and assisting with library accounts in person or over the phone.
  • Manages Interlibrary loan services, overseeing borrowing and lending for the UTampa Community. Responsible for understanding the basic principles of ILL, including copyright law as it pertains to ILL, updating WorldShare policies, and keeping up with trends and developments in the ILL community.
  • On occasion, communicates with Campus Safety to maintain security of the library and patrons.
  • Oversees the daily collection and distribution of mail from the campus Post Office.
  • Responsible for the circulation and integrity of the collection and ensuring accurate records.
  • Acts as final arbitrator for individual patron complaints or concerns regarding circulation services.
  • Runs and reviews fines/fees reports. Responsible for ensuring accurate fines/fees are submitted to the Bursar Office on time. Responsible for managing issues with fines/fees.
  • Assists public patrons as needed and helps to create and maintain guidelines of service for those outside of the UTampa Community.
  • On occasion, responds to after-hour calls on evenings and weekends to assist staff.

System & Data Management:

  • Maintains the Access Services modules in the library software, runs usage reports, and tracks department statistics.
  • Maintains information on the library website that pertains to Access Services.

Policy & Collaboration:

  • Participates in the development, recommendation and administration of division policies, procedures and processes in collaboration with managers of multiple divisions; implements and monitors compliance with approved policies, procedures and processes.
  • Clearly communicates with other library departments, acting as a bridge between Access Services, whose team members often work on varying schedules, and other departments as necessary.
  • Performs other duties as assigned.

Qualifications

Education:

  • Master's degree in library science from an American Library Association accredited institution, or a bachelor's degree in library science or a related field is required. Relevant experience may substitute for the degree requirement on a year-for-year basis. Three years of progressively responsible experience related to areas of assignment, including one year of lead or supervisory experience.

Experience:

  • 2 to 4 years of library or customer service experience.
  • Experience directly supervising 3 or more people.
  • Experience leading a department, division, or team.

Skills:

  • Strong written, oral, interpersonal, and organizational skills as well as the ability to manage time wisely.
  • Ability to interpret, use, teach, and explain the use of library resources.
  • Knowledge of or the ability to learn quickly The University of Tampa software programs such as Workday, and Microsoft Office (including Teams and SharePoint).
  • Knowledge of management principles involved in leadership techniques and coordination of people and resources.
  • Ability to manage and prioritize a variety of tasks and demands in a busy environment with frequent interruptions.
  • Significant and relevant experience providing customer service or delivering instructions.
  • Must be able to interact with a diverse population of students, staff, and faculty.
  • Willingness to embrace new technologies and innovative organizational practices.

Preferred Qualifications

  • Knowledge of Alma integrated library system.
  • Knowledge of OCLC Worldshare Interlibrary Loan.
  • Knowledge of library systems and software, including circulation functions.
  • Experience working and managing an academic library circulation desk.
  • Experience in an academic library.

Work Schedule
Work hours for this position will vary throughout the year but typically will be 11 a.m. to 7 p.m. (Monday through Friday) during the academic year and 8:00a.m. to 4:00 p.m. when classes are not in session.

Summer schedule: Monday through Thursday, 8:00 a.m. to 5:30 p.m.

Note: This position is a supervisor position and may be asked to adjust schedule to fill in gaps.

Work Environment and Physical Requirements

Work is generally performed in a standard office environment with frequent interruptions and irregularities in the work schedule. Position may involve frequent bending, moving, lifting, and carrying material weighing up to 25 pounds; pushing library book carts with weights up to 70 pounds and standing up to eight hours total each day.
