Position: Accounting Assistant
Reports To: Accountant
Essential Functions:
Accounts Receivable and Collections:
- Processes financial aid receipts and distributes where designated.
- Processes financial aid refunds.
- Prepares Federal Grant draws.
- Creates and sends Student and other invoices as requested.
- Monitors accounts to identify outstanding debts.
Reconciliation and Reporting:
- Reconciliation of GL accounts, bank accounts, and other accounts as requested.
- Updates budget status reports for departments.
Fixed Assets:
- Assists in random and yearly physical inventory counts.
- Tags all purchased equipment over a determined threshold.
- Assists in maintaining fixed asset/inventory spreadsheets.
Other Duties:
- Creates and runs special reports as requested.
- Assists with various journal entries as delegated.
- Filing and scanning documents as needed.
- Assists in end-of-year procedures as delegated.
- Ensure strict confidentiality of financial records.
- Provide customer-service-oriented interaction in all telephone and e-mail responses.
- All other duties as assigned.
Qualifications:
To perform at a proficient level and to be fully qualified, a person would be expected to have:
- Education: High school degree or equivalent.
- Specialized Knowledge/Skills:
- Preferred to have a working knowledge of computerized accounting system software, specifically QuickBooks.
- History of dependability, reliability, high work ethic, and confidentiality.
- Computer aptitude for database management, general word processing, and spreadsheet programs, specifically MS Excel, Word, and Google Suite.
- Excellent typing and data entry skills.
- Ability to work in a team-based environment as well as independently.
- Possess excellent follow-up skills, accuracy, and attention to detail.
- Strong written and verbal skills.
- Experience: Experience in accounting is preferred.
- Background Check: Must be able to pass a background check.
- Probationary Period: Continued employment is contingent upon successful completion of a six (6) month probationary period.
