Description

Put your accounting skills to work in support of community healthcare at Community Health Center of Central Wyoming (CHCCW). As an Accounting Clerk/Bookkeeper at our Federally Qualified Health Center (FQHC), you will help keep financial records accurate, organized, and ready for decisions that support our work. Reporting to the Chief Financial Officer, you will handle day-to-day bookkeeping, accounts payable and receivable, reconciliations, and journal entries, while supporting grant accounting, financial reporting, and month-end closing. This role is a good fit for someone who enjoys working with numbers, solving discrepancies, and keeping details on track. You may also provide backup support for payroll reports and related accounting entries as needed; running or producing payroll is not part of this role.

Essential Functions

• Keep payments moving: Process vendor invoices, employee expense reimbursements, and other non-payroll accounts payable transactions using established procedures.

• Get the details right: Check documentation, account and grant coding, payment terms, and approvals; work with the Chief Financial Officer to resolve exceptions.

• Prepare vendor checks and electronic payments for authorized review and release, following controls that separate preparation, approval, and reconciliation.

• Build responsive vendor relationships by answering routine payment questions, reconciling statements, and keeping vendor records and tax documentation current.

• Record receipts and accounts receivable transactions, prepare deposits, and reconcile supporting reports; coordinate with billing staff as assigned.

• Balance cash, check, and electronic receipts, keeping clear supporting records and following cash-handling and deposit procedures.

• Help solve discrepancies: Prepare monthly bank and assigned balance sheet reconciliations, research differences, and submit proposed corrections for review.

• Prepare and enter routine journal entries with supporting documentation, required approvals, and accurate account, department, program, and funding-source coding.

• Help bring each accounting period to a close by preparing assigned schedules, accruals, adjusting entries, and reconciliations on time.

• Support grant-funded work: Track grant receipts, spending, and remaining balances by award and funding period; help prepare budget-to-actual comparisons and financial reports under the Chief Financial Officer’s direction.

• Check grant transactions against documentation, approved budgets, award periods, and allowable cost requirements; use approved cost-allocation methods and flag questions before posting or payment.

• Provide backup payroll accounting support only as needed: Prepare and reconcile reports from completed payroll records, prepare related journal entries, and reconcile payroll-related accounts. Apply approved cost allocations to departments, programs, and grants when assigned.

• Keep financial records organized, confidential, and audit-ready; prepare supporting schedules and documentation for financial statements, grant reports, audits, and monitoring reviews in accordance with record-retention policies.

• Support other assigned accounting and administrative work within the role’s scope, follow internal controls, and raise discrepancies or control concerns promptly.

Backup Payroll Accounting Support: Your payroll-related work is limited to reporting, reconciliation, cost allocation, and accounting entries when backup coverage is needed and assigned—not a primary responsibility. You will not calculate employee pay, maintain payroll processing data, run or submit payroll, issue paychecks or direct deposits, or prepare or submit payroll tax filings. Designated payroll staff or the payroll service provider remains responsible for payroll processing.
