The role owns routine payroll execution and accounting while also performing recurring construction transactions, reconciliations, schedules, journal entries, and month-end tasks that allow manager-level resources to focus on review, analysis, systems, and decision support.

Key Responsibilities:

  • Payroll Processing & Confidentiality

    · Process accurate and timely biweekly payroll for assigned entities.

    · Validate approved time, employee setup, pay changes, deductions, benefits, reimbursements, garnishments, and other payroll inputs.

    · Maintain confidential payroll records and research routine discrepancies.

    · Prepare payroll registers and exception reports for independent review; do not release payroll funding.

    Payroll Accounting & Compliance Support

    · Prepare payroll journal entries, entity/property/job allocations, and payroll reimbursement schedules.

    · Reconcile payroll clearing, liability, withholding, benefit, retirement, and other payroll-related accounts.

    · Coordinate routine payroll-tax filings, quarterly approvals, deductions, garnishments, 401(k), insurance, and remittances with payroll providers and reviewers.

    · Support year-end payroll, W-2, 941, insurance-audit, and labor-cost schedules.

    Construction Accounting Transactions

    · Process subcontractor, vendor, utility, insurance, and other routine construction transactions.

    · Verify jobs, completion support, cost codes, approvals, COIs, and payment documentation.

    · Maintain construction deposits, checkbooks, recurring schedules, home-sales and escrow lists, builders-risk support, and quarterly reporting schedules.

    · Prepare routine construction account reconciliations and month-end support for Finance & BI review.

    Flexible Accounting Support

    · Prepare assigned property, development, construction, and corporate reconciliations.

    · Record standard journal entries and maintain prepaid, accrual, fixed-asset, credit-card, intercompany, reimbursement, and year-end schedules.

    · Support property accounting, company books, HOA activity, audit files, tax estimates, license renewals, and month-end coverage as assigned.

    · Maintain procedures, calendars, checklists, and reliable source data.

    Systems & Technology Expectations

    · Working knowledge of Yardi is required for assigned property and cross-coverage duties.

    · Strong working knowledge of UKG or comparable payroll system; working knowledge of Sage and Buildertrend expected for assigned accounting work.

    · Advanced daily user, but not the primary system owner or power user.

· Associate’s or bachelor’s degree in Accounting, Finance, Business, or related field, or equivalent experience.

· Three or more years of payroll and accounting experience; construction, property, or multi-entity experience preferred.

· Working knowledge of payroll taxes and filings; outside-provider expertise may be used for complex matters.

· High discretion, accuracy, documentation discipline, and ability to flex across business units.

Measures of Success

· Accurate, timely payroll with strong confidentiality and controls.

· Timely reconciliations, schedules, and routine transaction processing.

· Meaningful reduction of lower-level work performed by managers.

· Reliable cross-business-unit accounting coverage and documented backup.
