Accounting Specialist

The Accounting Specialist will play a key role in supporting day-to-day accounting operations, maintaining accurate financial records, and ensuring timely processing of transactions. This position will assist in accounts receivable, accounts payable, reconciliations, and auction-related settlements, while also supporting month-end close and reporting processes. The ideal candidate is detail-oriented, highly organized, and thrives in a fast-paced, creative environment.

Responsibilities:

  • Process accounts payable transactions accurately and efficiently.
  • Build and maintain positive relationships with vendors to ensure efficient communication and service.
  • Prepare auction settlement statements, ensuring timely and accurate payment disbursements.
  • Collaborate with internal departments to resolve billing discrepancies and ensure proper coding of expenses.
  • Provide timely and professional responses to consignors regarding their payment status and details.
  • Support Accounts Receivable operations by preparing invoices, recording payments, and assisting with collections as needed.
  • Support month-end and year-end closing processes, including journal entries and account reconciliations.
  • Maintain and organize accounting files and documentation in accordance with company policies and GAAP standards.
  • Provide administrative support to the Controller and finance team as required.
  • Assist with audit preparation and special projects as assigned

Requirements:

  • Bachelor’s degree in Accounting, Finance, or related field preferred (or equivalent experience).
  • 3–7 years of experience in accounting or bookkeeping, ideally in a retail, entertainment, or auction-related environment.
  • Strong understanding of GAAP and general accounting principles.
  • Proficiency with QuickBooks, Sage Intact, or similar accounting software.
  • Advanced Excel skills and experience working with financial reporting tools.
  • Strong attention to detail, accuracy, and organizational skills.
  • Ability to handle confidential information with professionalism.
  • Excellent communication and interpersonal skills.
  • Ability to prioritize multiple tasks and meet deadlines in a fast-paced setting.
