Accounts Assistant

Job Summary:

The Accounts Assistant will provide day-to-day accounting and administrative support to the Accounts Executive to ensure smooth and efficient financial operations.

1. Key Responsibilities:

Accounts Payable

  • Process supplier invoices and ensure they are supported by the necessary documentation.
  • Verify invoices against purchase orders, quotations, and delivery orders where applicable.
  • Maintain accurate records of supplier invoices and payment schedules.

Accounts Receivable

  • Prepare customer invoices and ensure timely issuance.
  • Monitor incoming customer payments and update accounting records.
  • Follow up on outstanding receivables and prepare ageing reports when required.
  • Assist in resolving billing discrepancies with customers.

Accounting & Financial Support

  • Perform accurate data entry into the accounting system.
  • Maintain proper filing and organization of accounting records and supporting documents.
  • Assist in preparing monthly accounting schedules and reconciliations.
  • Assist with bank reconciliations and verify banking transactions.
  • Support month-end and year-end closing activities.
  • Assist in preparing financial reports and management reports as required.

Audit & Compliance

  • Prepare supporting documents required for internal and external audits.
  • Ensure finance documents are filed in accordance with company procedures.
  • Assist in maintaining compliance with company policies and statutory requirements.
  • Support the Finance Department in implementing and improving accounting processes.
  • Provide administrative support to the Finance Department as required.

General Duties

  • Maintain confidentiality of financial information.
  • Assist in any ad hoc accounting, finance, or administrative duties assigned by the Accounts Executive or Management.

2. Requirements & Qualifications:

Key Responsibilities:

· Diploma or Certificate in Accounting, Finance, Business Administration or a related discipline.

· Minimum 1–2 years of relevant accounting experience is preferred.

· Proficient in Microsoft Office applications, especially Microsoft Excel.

· Familiarity with accounting software is an advantage.
