Accounts Payable Specialist

Steuben Foods is seeking an Accounts Payable Specialist to support the accounting department by managing vendor payments and ensuring invoices are processed accurately, properly approved, and paid on time. This position is responsible for maintaining financial records, resolving payment issues, and helping ensure compliance with company policies and accounting standards.

Schedule

• Full-time, hourly position
• 40 hours per week
• Overtime as needed

Key Responsibilities

• Receive, process, and enter vendor invoices into accounting systems
• Review invoices, purchase orders, and approvals for accuracy and investigate discrepancies
• Reconcile vendor statements and resolve discrepancies
• Schedule and issue payments via check, ACH, or wire transfer
• Maintain vendor records, W-9s, and 1099 reporting documentation
• Maintain relationships with vendors
• Respond to vendor inquiries and payment status requests
• Process employee expense reports and credit card transactions
• Assist with month-end close, accruals, audits, and financial reporting
• Monitor payment terms to capture discounts and avoid penalties
• Identify opportunities to improve accounts payable processes and efficiency

Required Skills & Qualifications

• 2–5 years of experience in accounts payable, bookkeeping, or accounting
• Strong attention to detail and accuracy
• Knowledge of accounts payable processes, invoice matching, and reconciliations
• Proficiency with accounting ERP software, such as SAP
• Proficiency with Microsoft Office, especially Excel
• Strong organizational, time management, and communication skills
• Ability to work independently, prioritize tasks, and meet deadlines
• Experience handling high-volume invoice processing preferred

Technical Knowledge

• Three-way matching, including purchase orders, receiving documents, and invoices
• Vendor setup and maintenance
• ACH, wire transfer, and check processing
• AP accruals and month-end close activities
• 1099 tax reporting
• Audit support and internal controls
