Accounts Receivable Specialist

Job Summary

We are looking for a detail-oriented Accounts Receivable Specialist to manage invoicing, payment tracking, and collections for a property restoration company. This role will ensure accurate billing, timely follow-ups on outstanding balances, and proper documentation of customer payments and insurance-related receivables.

Key Responsibilities

- Prepare, review, and send invoices for restoration and mitigation services.
- Monitor outstanding accounts receivable and follow up on overdue payments.
- Communicate with customers, insurance adjusters, and other stakeholders regarding invoices, payment status, and billing discrepancies.
- Track payments, process account adjustments, and reconcile customer accounts.
- Maintain accurate records of invoices, payments, and collection activities.
- Investigate and resolve billing discrepancies and short payments.
- Coordinate with project managers and operations teams to ensure invoices are supported by the required documentation.
- Assist with monthly accounts receivable reporting and aging reports.
- Support collection efforts while maintaining professional relationships with customers and insurance representatives.

Requirements

- Previous experience in accounts receivable, billing, collections, or accounting support.
- Strong attention to detail and organizational skills.
- Proficiency in Microsoft Excel and accounting or invoicing software.
- Excellent written and verbal communication skills.
- Ability to manage multiple accounts, prioritize follow-ups, and meet deadlines.
- Experience working with insurance claims, construction, property restoration, or service-based businesses is a plus.

Preferred Qualifications

- Experience with restoration or construction invoicing and insurance-related payments.
- Familiarity with accounting platforms such as QuickBooks.
- Knowledge of accounts receivable aging, payment reconciliation, and collection procedures.
