Admin Assistant 3 - India
Description
What You’ll Do
- Workplace Operations & Experience Ownership: Direct and elevate daily workspace operations across multiple floors or sites. Establish high operating standards for housekeeping, pantry, and food/beverage services (cafeteria and tuck shop operations), ensuring an exceptional workplace experience for employees and visitors.
- Vendor & Facilities SLA Management: Serve as the primary contact for external facilities vendors (House keeping, general maintenance, pest control, waste management, equipment leasing). Hold vendors accountable to Service Level Agreements (SLAs), resolve complex service escalations, and participate in annual vendor contract reviews and negotiations.
- Event Logistics: Partner with internal event organizers and executive stakeholders to plan, configure, and execute end-to-end logistics, decor, and AV/IT coordination for high-profile corporate events and town halls.
- Procurement, Budgeting & Reconciliation: Oversee the end-to-end purchasing lifecycle (PR-to-PO-to-payment) for office operations. Monitor department supply budgets, identify cost-saving opportunities, reconcile discrepancies between invoices and delivery logs, and coordinate with Finance for accurate month-end accruals.
- Supply Chain & Inventory Governance: Design, implement, and maintain inventory control systems across corporate merchandise/swag, office supplies, emergency/first-aid kits, and facilities consumables to ensure optimal stock levels and zero operational downtime.
- Process Optimization & Administration: Standardize and modernize office administrative workflows (courier management, secure document shredding, onboarding setup). Document standard operating procedures (SOPs).
What You’ll Bring
- Experience: 5 to 8+ years of progressive experience in corporate administration, workplace operations, or hospitality management within a fast-paced or multi-site environment.
- Autonomous Problem Solving: Demonstrated track record of exercising high judgment, anticipating operational bottlenecks, and resolving facility or administrative emergencies with minimal supervision.
- Stakeholder & Vendor Management: Proven ability to build trusted partnerships with cross-functional leadership (HR, IT, Finance, Real Estate) and firmly manage external service partners.
- Financial & Process Acumen: Experience managing operational budgets, tracking purchase orders, auditing vendor invoices, and using inventory/ticketing software (e.g., Coupa, SAP, Jira Service Management, Envoy).
- Communication & Presence: Exceptional verbal and written communication skills with the polish required to interface with executive leadership and VIP guests.
- Continuous Improvement Mindset: A proactive drive to audit existing workplace workflows, streamline inefficiencies, and drive sustainability/safety initiatives across the office.
