Admin Executive (Partnerships Management) - Communications & Partnerships Department

About the Role

The Executive / Senior Executive, Partnerships Management plays a key role in strengthening Fei Yue's relationships with donors, volunteers, corporate partners and community stakeholders. This role supports donor stewardship, volunteer engagement and corporate volunteer initiatives, while ensuring smooth coordination of fundraising administration, reporting requirements and stakeholder communications. The ideal candidate is a people-oriented individual with strong interpersonal skills, excellent organisational abilities and the ability to manage multiple priorities in a fast-paced environment.


Key Responsibilities

This is a hands-on role for someone who wants to build purposeful partnerships that make a tangible difference in the community. The successful candidate will work with internal and external stakeholders and partners to translate donor, volunteer and corporate support into meaningful experiences and outcomes for clients, families and communities served by Fei Yue.

Donor Engagement & Stewardship

  • Support the implementation of donor engagement and stewardship initiatives to build meaningful, long-term relationships with individual, corporate and foundation donors.
  • Coordinate donor appreciation activities, engagement events and centre visits.
  • Maintain accurate donor records and ensure timely acknowledgements, updates and stewardship communications.
  • Assist in preparing donor reports, impact updates and funding utilisation reports.
  • Support fundraising campaigns and initiatives through administrative coordination and stakeholder follow-up.

Volunteer Engagement

  • Liaise with individual and corporate volunteers to plan and execute volunteering opportunities.
  • Work closely with programme teams and Volunteer-ICs across various departments to understand volunteer needs and ensure meaningful volunteer experiences.
  • Support volunteer appreciation initiatives and recognition programmes.
  • Maintain volunteer records and generate volunteer statistics and reports.

Corporate Social Responsibility (CSR) Coordination

  • Coordinate corporate volunteering activities and CSR partnerships across Fei Yue's services.
  • Serve as the primary liaison between corporate partners and internal programme teams to ensure successful project planning and execution.
  • Manage logistics, schedules, communications and post-event follow-up.
  • Track partnership outcomes and prepare post-engagement reports where required.

Fundraising Administration & Reporting

  • Coordinate grant and donation administration, ensuring proper documentation and compliance with organisational processes.
  • Monitor reporting timelines and support the preparation and submission of grant reports, donor reports and other required documentation.
  • Maintain accurate records of donations, partnerships and stakeholder engagements.
  • Support data collection and reporting for fundraising and partnership performance.
  • Assist in preparing presentation materials, proposals and briefing papers.

Stakeholder Management

  • Build and maintain positive working relationships with donors, volunteers, corporate partners, community organisations and internal stakeholders.
  • Respond professionally and promptly to stakeholder enquiries.
  • Support the cultivation of strategic partnerships through excellent relationship management and follow-up.

Requirements:


Qualifications & Experience

  • Degree or Diploma in Business, Marketing, Social Sciences, Public Relations or a related discipline.
  • At least 2 years of relevant experience for Executive level, candidates with 4–6 years of experience can be considered for Senior Executive level.
  • Experience in stakeholder management, donor relations, volunteer management, customer relationship management or account management will be an advantage.
  • Prior experience in the social service, charity or non-profit sector is preferred but not essential.

  • Strong interpersonal and relationship-building skills with the ability to engage stakeholders at all levels.
  • Excellent written and verbal communication skills.
  • Strong organisational and project coordination abilities.
  • Able to manage multiple projects and competing priorities simultaneously.
  • Meticulous with strong attention to detail, particularly in report writing and administrative work.
  • Comfortable working with data, preparing reports and maintaining databases.
  • Resourceful, proactive and able to work independently as well as collaboratively within a team.
  • Proficient in Microsoft Office (Word, Excel and PowerPoint); experience with Volunteer-Donor management systems will be an advantage.
