Wealth Holdings Shipping Pte. Ltd. is a Singapore-based dry bulk shipping company operating Supramax/Ultramax vessels across major trade lanes. We are looking for an Admin & HR Manager to oversee the company’s human resources and administrative functions and provide comprehensive support to management and employees.
Role Overview
We are seeking an experienced, responsible and highly organised Admin & HR Manager to manage the company’s day-to-day human resources and office administration functions.
The role includes payroll and CPF administration, recruitment, employee records, leave management, work-pass matters, office operations, business travel arrangements and management support. The candidate will also coordinate with government agencies, corporate service providers, external vendors and Chinese-speaking management and colleagues.
The successful candidate should be able to work independently, manage multiple priorities and handle confidential company and employee information with discretion.
Key Responsibilities
- Oversee the company’s daily human resources and administrative functions.
- Manage monthly payroll processing, CPF submissions and other employee-related payments.
- Maintain accurate employee records, leave records, personnel files and HR documentation.
- Prepare employment contracts, confirmation letters, salary adjustment letters and other employment-related correspondence.
- Support employee onboarding and offboarding, including account setup, documentation and exit procedures.
- Manage recruitment activities, including posting job advertisements, screening applications, arranging interviews and communicating with candidates.
- Coordinate work-pass applications, renewals, cancellations and other matters with the Ministry of Manpower and relevant government agencies.
- Assist with employee insurance, medical benefits and other staff welfare matters.
- Ensure that HR practices and documentation comply with Singapore employment requirements and company policies.
- Manage daily office administration, including office supplies, equipment, maintenance and service providers.
- Manage office petty cash, including recording expenses, maintaining supporting receipts and arranging replenishment when required.
- Monitor and replenish pantry supplies, office stationery and other general office necessities.
- Source quotations and coordinate purchases with suppliers to ensure cost-effective and timely delivery.
- Maintain proper records of office purchases, invoices and payment documentation.
- Coordinate courier services, incoming and outgoing correspondence, and office deliveries.
- Provide administrative and personal-assistant support to management.
- Coordinate management calendars, meetings, appointments and business correspondence.
- Arrange business travel, including flights, accommodation, transportation, visas and itineraries.
- Coordinate company events, business meals, overseas visitors and other management arrangements.
- Liaise with hotels, restaurants, drivers, vendors, banks, government agencies and corporate service providers.
- Coordinate payment requests, expense claims, invoices and supporting documents with the Finance team and management.
- Assist with company registrations, licences, corporate documentation and coordination with external corporate secretarial service providers.
- Coordinate with external IT and system vendors for company email accounts, software subscriptions and other office systems.
- Prepare internal announcements, reports, schedules and other administrative documents in English and Chinese.
- Handle confidential company, management and employee information with discretion.
- Perform other HR, administrative and management-support duties as assigned.
Job Requirements
- Diploma or Degree in Human Resources, Business Administration or a related field.
- Minimum 5 years of relevant experience in human resources and office administration, preferably in a managerial or independent HR and administration role.
- Good knowledge of Singapore employment practices, payroll, CPF, leave administration and work-pass procedures.
- Experience in recruitment, employee on boarding and maintaining HR records.
- Proficient in Microsoft Office, particularly Microsoft Excel, Word and Outlook.
- Meticulous, organised and able to manage multiple responsibilities independently.
- Strong communication, coordination and time-management skills.
- Resourceful, responsive and able to handle urgent or last-minute arrangements.
- Able to maintain a high level of professionalism, confidentiality and discretion.
- Proficient in English and Chinese, including listening, speaking, reading and writing, to liaise with English- and Chinese-speaking management, employees, counterparties, vendors and external service providers.
- Experience in the shipping or maritime industry would be an added advantage.
