Admin Officer
Summary
Admin Officer provides HR, accounting, and operational support for a Singapore-based financial advisory firm, handling payroll, compliance, and trading reports using Microsoft Office.
Principal Objective of the Position
Reporting directly to the CEO, the Admin Officer provides administrative, human resource, and accounting support to ensure the smooth day-to-day operations of the Company.
This role primarily supports:
- Strategic Consulting and Financial Advisory projects for external clients
- Administrative and reporting support for Trading Operations
The position is predominantly remote-based, with occasional requirement to attend the Singapore office when necessary.
Key Responsibilities
1. Human Resource & Administration
- Prepare and update job descriptions, employment contracts, and onboarding documentation
- Liaise with outsourced payroll provider for monthly payroll processing
- Process staff expense claims and reimbursements
- Support government-related filings (e.g., grants, subsidies, declarations)
- Coordinate general office administration, including:
- Procurement of office supplies and stationery
- Venue bookings Company events and meetings
2. Accounting & Finance Support
- Perform bookkeeping and maintain accurate financial records
- Prepare invoices, receipts, and payment documentation
- Assist in the preparation of monthly management accounts
- Coordinate with outsourced service providers (e.g., corporate secretary, accounting firm) for:
Statutory filings Regulatory submissions
- Compliance documentation
3. Trading Operations Support
- Coordinate with the trading team to reconcile trading records
- Assist in preparing PnL and performance reports
- Prepare trading-related reports, primarily using Excel
- Ensure documentation accuracy and timely submission
4. General Support
- Provide general administrative assistance as assigned
- Support ad-hoc operational, compliance, or reporting tasks
Requirements
- Minimum Diploma qualification or above
- Minimum 2 years of administrative experience in Singapore
- Prior exposure to Banking, Finance, or Accounting environments preferred
- Basic accounting or bookkeeping experience is advantageous
- Strong communication skills
- Proficiency in Microsoft Office, especially Word and Excel
