Admin Operations

Working Hours:
Monday to Friday: 9:00 AM – 6:00 PM
Saturday: 9:00 AM – 1:00 PM (if required)

Job Responsibilities:

• Act as the main point of contact between the office and outlets via WhatsApp.

• Attend to outlet enquiries, requests and operational matters, including weekends when necessary.

• Coordinate daily outlet operations and follow up on outstanding issues.

• Prepare and monitor Purchase Orders (PO).

• Liaise with suppliers on orders, pricing, deliveries and other purchasing matters.

• Source at least 3 quotations for outlet purchases where required.

• Monitor inventory, stock requirements and wastage.

• Prepare and maintain weekly Sales & COGS reports.

• Track outlet purchases and ensure proper documentation and records.

• Assist with manpower scheduling and operational arrangements.

• Assist with SFA applications and other operational administrative matters.

• Maintain proper filing and update records using Excel and company systems.

• Perform other administrative and operational duties assigned by the Admin Executive and Operations Manager.

Requirements:

• Minimum basic knowledge of Microsoft Excel.

• Knowledge of Xero will be an advantage.

• Good communication and coordination skills.

• Responsible, organised and able to follow up on tasks independently.

• Fast learner with a willingness to learn.

• Takes initiative and is willing to handle new challenges.

• Able to multitask and work in a fast-paced environment.

• Able to communicate and coordinate with outlet staff effectively.

• Must be able to attend to urgent outlet matters over the weekend when necessary.

• Prior experience in Admin, Operations, F&B or a related role will be an advantage.

Salary: $2,000 – $2,200 per month
