Admin Specialist
1. General Administrative Support
- Provide day-to-day administrative support to the department & leadership team
- Perform administrative duties, including tracking invoices, arranging payments, and ensuring timely settlement of monthly office operating expenses
- Manage office documentation, filing systems (physical and digital) and record keeping.
- Support, monitor and replenish office supplies to prevent disruptions.
- Support office administration, maintenance coordination, and vendor management
- Assist in purchasing office supplies, including sourcing, ordering, and coordinating deliveries.
- Assist with onboarding logistics for new hires (workspace, access, etc.)
- Provide administrative support for business travel and expense management.
- Arrange travel bookings (flights, accommodation, transport)
- Prepare and track expense claims, reimbursements, and reports
- Ensure compliance with company travel policies
2. Executive Support to GM
- Manage GM’s calendar, including scheduling meetings, appointments, and travel arrangements (if required)
- Coordinate internal and external meetings, including agenda preparation and logistics
- Take meeting minutes and track follow-up actions where required
3. Ad-Hoc Support
- Provide ad-hoc administrative and coordination support as assigned
- Assist in special projects, presentations, and process improvements

Requirements:
- Minimum Diploma and 5 years relevant working experience
- Ability to liaise with internal and external stakeholders.
- Good communication skills in both Mandarin and English.
- Strong writing skills to draft and communicate effectively
