Oversee office operations for a Singapore-based construction firm, managing staff, budgets, and compliance with local regulations while streamlining workflows.
Responsibilities
- Lead and supervise administrative staff including assistants, receptionists, and clerks to deliver effective office support and maintain team productivity
- Develop and implement office policies and procedures to standardize operations and ensure compliance with regulations
- Coordinate scheduling, communications, and documentation to maintain organized and timely information flow across departments
- Collaborate with various departments to streamline workflows and improve operational efficiency
- Manage office budgets by monitoring expenses, controlling supplies, and maintaining vendor relationships to optimize resource use
- Support HR activities by facilitating onboarding processes, tracking attendance, and monitoring employee performance metrics to enhance workforce management
- Prepare detailed reports and presentations for senior management to inform decision-making and track office performance
Required competencies and certifications
- Experience in administration within the construction or engineering sector
- Strong knowledge of BCA CRS, MOM work-pass applications, and ACRA/IRAS procedures
- Proficiency in Microsoft Office and familiarity with construction project documentation
Preferred competencies and qualifications
- Diploma or Degree in Business Administration, Construction Management, or equivalent
- Excellent coordination, leadership, and communication skills
- Ability to work independently and manage multiple tasks under tight deadlines
