Administration Manager
Galaxy Dance Academy is a boutique ballroom and Latin dance academy in the city centre serving approximately 400 active students across adult group classes, private coaching, children's programmes, competitive training, weddings and events. We are looking for an Administration Manager to take full ownership of studio operations, systems and administrative leadership.
This is a hands on management role reporting directly to the Founder and CEO. You will run the operational engine of the academy so that our coaching team can focus on teaching.
Key Responsibilities:
Operations and Facilities
- Manage day to day studio operations across three studio rooms, including opening and closing standards, cleanliness, equipment and inventory
- Oversee front desk service standards, student check in, bookings and enquiry response
- Manage studio room scheduling and rental bookings to maximise utilisation
Systems and Administration
- Administer and maintain the academy's operational systems, including the membership and billing platform, project management platform and customer messaging platform
- Maintain accurate student records, attendance data, membership statuses and renewal schedules
- Prepare weekly and monthly operational reports for management
- Track and follow up on outstanding student payments and renewals
Human Resources and Scheduling
- Coordinate coach and administrative staff schedules, leave planning and shift coverage
- Support recruitment administration, onboarding and offboarding of staff
- Maintain HR records and support payroll preparation in line with the Employment Act
- Ensure compliance with statutory employment and work pass requirements
Process and Standards
- Write, maintain and improve standard operating procedures across all operational functions
- Lead internal communication so that coaches, administrative staff and management stay aligned
- Identify operational bottlenecks and propose solutions with clear implementation steps
Events and Programmes
- Plan and execute studio events, showcases, competitions and term calendars
- Coordinate logistics for external venues, vendors and performance events
- Support marketing and enrolment campaigns with operational delivery
Requirements:
- Bachelor's degree or equivalent
- At least 2 years of experience in operations, administration or office management, ideally in a service business with recurring memberships
- Strong written and spoken English with the ability to communicate clearly with students, parents, coaches and management
- Demonstrated ability to build and document processes rather than simply follow them
- Comfortable working with membership, CRM, scheduling or project management software and able to learn new systems quickly
- Strong numeracy and accuracy in record keeping and reporting
- Able to work independently, take ownership of problems and bring solutions
- Willing to work some evenings and Saturdays in line with studio operating hours
Preferred:
- Experience in a fitness, wellness, arts, education or dance business
- Experience supporting HR administration or payroll in Singapore
- Additional language ability useful for serving a multicultural student base
