Job Summary
Lead and manage administrative functions and teams to support construction projects and company operations. Ensure compliance, optimize processes, and coordinate with stakeholders to deliver efficient administrative services.
Responsibilities
- Lead and supervise the administrative team to ensure efficient workflow and high-quality support services across company and project offices
- Develop, implement, and enhance administrative policies, procedures, and documentation to improve operational effectiveness
- Coordinate office facilities, equipment maintenance, and vendor management to support daily operations
- Provide project teams with accurate documentation, contract administration, correspondence, and filing support to ensure project compliance
- Maintain comprehensive records for construction projects, including permits, licenses, insurance, and statutory documents for regulatory adherence
- Liaise effectively with clients, consultants, subcontractors, suppliers, and government agencies to facilitate smooth project and office operations
- Coordinate work pass applications, staff onboarding, accommodation, and transportation arrangements for site personnel to ensure timely deployment
- Monitor and control office budgets, procurement of supplies, and administrative expenses to optimize resource utilization
- Ensure workplace safety, company policies, and regulatory requirements are consistently met and communicated
- Organize company meetings, events, training sessions, and corporate activities to foster team engagement and development
- Prepare management reports and provide administrative support to senior management for informed decision-making
- Perform additional administrative duties as assigned to support business needs
Required competencies and certifications
- Diploma or Bachelor's Degree in Business Administration, Management, or related discipline
- Minimum 5 years of relevant administrative experience, preferably in construction or engineering industries
- Good knowledge of construction administrative processes and documentation
- Familiarity with Singapore employment practices and general regulatory requirements
- Proficiency in Microsoft Office applications (Word, Excel, PowerPoint, Outlook)
- Excellent organizational, communication, and interpersonal skills demonstrated through managing multiple priorities
- Strong problem-solving skills with attention to detail and ability to work independently in a fast-paced environment
Preferred competencies and qualifications
- Previous supervisory or management experience
- Experience supporting multiple construction projects simultaneously
- Knowledge of project documentation, tender administration, and contract filing
- Experience coordinating work pass administration and liaising with government authorities
- Experience with document management systems or ERP software
