ADMINISTRATION MANAGER

Job Description:

The Administration Manager is responsible for managing and coordinating the administrative functions of the construction company and supporting the smooth operation of construction projects and office activities.

Key Responsibilities:

  • Manage daily office administration and general company operations.

  • Coordinate administrative matters between the office, project sites, workers, subcontractors, suppliers, and management.

  • Maintain project documents, contracts, quotations, purchase orders, delivery orders, invoices, and other construction-related records.

  • Prepare reports, correspondence, meeting documents, and management updates.

  • Monitor employee attendance, leave records, manpower deployment, and staff documentation.

  • Coordinate work permit, employment pass, training, medical, and other manpower-related administrative matters.

  • Assist with recruitment, onboarding, and maintaining employee personnel records.

  • Liaise with clients, suppliers, subcontractors, government authorities, and external service providers when required.

  • Support procurement activities and follow up on material deliveries, equipment arrangements, and supplier documentation.

  • Maintain proper filing systems for project, financial, HR, safety, and regulatory documents.

  • Assist project managers and site teams with administrative coordination and documentation.

  • Monitor office supplies, company assets, vehicles, insurance, licences, and renewals.

  • Ensure administrative procedures comply with company policies and relevant Singapore regulatory requirements.

  • Coordinate meetings, appointments, site visits, and management schedules.

  • Handle confidential company and employee information appropriately.

  • Perform other administrative and operational duties assigned by management.

Requirements:

  • Diploma or Degree in Business Administration, Management, Construction Management, or a related field.

  • Relevant experience in administration, preferably within the construction or engineering industry.

  • Good knowledge of office administration and construction documentation.

  • Strong organisational, communication, and coordination skills.

  • Proficient in Microsoft Office applications.

  • Able to work independently and coordinate with multiple project teams and stakeholders.
