ADMINISTRATION MANAGER
Job Responsibilities
- Office AdministrationManage day-to-day administrative operations and ensure smooth office functioning.Maintain office procedures, policies, records, and documentation.Coordinate office supplies, equipment, maintenance, and general facilities.
- Staff ManagementSupervise administrative and support staff.Allocate duties, monitor attendance, and evaluate staff performance.Support recruitment, onboarding, training, and staff development.
- Documentation & RecordsMaintain confidential employee, company, and administrative records.Prepare letters, reports, notices, meeting minutes, and other official documents.Ensure proper filing and timely retrieval of documents.
- Facilities ManagementCoordinate building maintenance, repairs, cleaning, security, and other facility services.Liaise with contractors, suppliers, and service providers.Ensure the workplace is safe, clean, and properly maintained.
- Procurement & Office SuppliesMonitor office inventory and arrange purchasing of required supplies.Obtain quotations and coordinate with suppliers.Control administrative expenses and maintain purchasing records.
- Communication & CoordinationCoordinate communication between management, employees, customers, suppliers, and external parties.Handle incoming and outgoing correspondence, emails, and telephone enquiries.Organize meetings, appointments, company events, and travel arrangements.
- Compliance & PoliciesEnsure administrative activities comply with company policies and applicable regulations.Maintain required licences, permits, contracts, and administrative documents.Support workplace health, safety, and security requirements.
- Financial & Administrative SupportAssist management with budgets, expense monitoring, invoices, and administrative payments.Maintain accurate administrative financial records.Prepare periodic administrative reports for management.
- Management SupportProvide administrative support to senior management.Prepare presentations, reports, schedules, and management documents.Follow up on management decisions and ensure assigned administrative tasks are completed.
- General Responsibilities
- Maintain confidentiality of company and employee information.
- Identify administrative problems and recommend practical solutions.
- Continuously improve office procedures and operational efficiency.
