What you will be doing
As an Administration & Procurement Specialist, you will help ensure that our Ukraine team has everything it needs to operate effectively, from components and equipment to a well-functioning office. This is a highly hands-on role for someone who enjoys keeping things organized, working with suppliers, coordinating multiple requests, and making sure things happen on time.
Responsibilities
- Manage day-to-day procurement requests, from sourcing suppliers and collecting quotations to placing orders and tracking deliveries
- Compare supplier offers and support purchasing decisions based on cost, quality, availability, and delivery timelines
- Build and maintain strong working relationships with local suppliers and service providers
- Maintain clear and accurate procurement records and documentation
- Receive and track components, equipment, and other purchased items
- Maintain inventory records and support regular inventory counts and stock monitoring
- Coordinate local deliveries, couriers, and other logistics needs
- Support international shipments and coordinate with logistics providers and relevant internal teams
- Coordinate day-to-day office operations, supplies, equipment, maintenance, and workplace needs
- Support workplace setup for new team members
- Coordinate business travel and accommodation for employees and visitors
- Support other logistical and administrative needs of the Ukraine team
- Build and maintain simple, clear processes and SOPs within your area of responsibility
You should have the following
- 2–4+ years of experience in procurement, administration, logistics, operations, or a similar role
- Hands-on experience working with suppliers, sourcing products or services, and managing purchases
- Experience maintaining procurement, inventory, or other operational records
- Strong organizational skills and the ability to manage multiple requests and priorities simultaneously
- High attention to detail, particularly when working with orders, documentation, deliveries, and deadlines
- Strong Excel or Google Sheets skills
- High ownership mindset, you follow tasks through from request to completion
- Comfortable working independently and solving day-to-day operational problems
- English at approximately B1+ level for communication with international colleagues
- Willingness to work in a hands-on, fast-moving environment where priorities can change quickly
Nice to have
- Experience with international logistics, shipments, or imports
- Experience in hardware, electronics, manufacturing, defense tech, or another product-based environment
- Experience building procurement, inventory, or administrative processes from scratch
- Experience supporting a growing office or operational team
