Performs a wide variety of administrative duties requiring knowledge of organization policies and procedures. Handles details and manages work of a highly confidential and critical nature to support Cisco leaders on matters of significance. Develops and maintains relationships with key stakeholders, including both internally within Cisco and externally with customers and partners. Manages calendar for non-executives, which may include teams, managers and/or directors. Manages the leader's calendar and assists the leader with organizing and planning meetings, including putting together agendas, securing the location, and confirming all logistics. Exercises and maintains knowledge of global time zones and cultural/religious holidays in calendar and event management. Coordinates travel arrangements while managing expenses. Provides analytical support to assist on special projects, as needed. Contributes to or plans events (team activities, company-wide workshops, offsites, and trainings), depending on level of Principal supported.
What You’ll Do:
• Supports 2 or more Senior Directors
• Provides a range of administrative duties related to calendar management, meeting planning and production, scheduling, travel arrangements, confidential communication, expense reports, etc.
• Regularly supports execution of a variety of special projects (e.g., special events, team building activities, office moves, training sessions, etc.), as requested
• Interprets and applies wide variety of policies and procedures and integrates with business priorities and objectives of the team supported
• Investigates and analyzes problems with a broad administrative impact; including technical issues for Director(s) supported
• Identifies root cause of issues and solves for the same; solutions may include identifying and engaging additional resources
• Effectively utilizes applications and business tools to positively impact productivity
• Liaises with IT to review, validate, and get trained on new technologies
• Balances preparation and reviews of policy documentation and routine assignments as needed (e.g., time, signatures, donations, meetings, etc.)
• Determines the relative impact and urgency of projects and tasks and may exercise judgement to research and resolve issues of non-routine nature
• Applies basic understanding of stakeholder requirements and establishes working relationships across the business team, as well as admin networks
• Runs admin scheduling meetings considering priorities set by the Principal
• Coordinates schedules applying understanding of multiple management levels and reporting relationships
• Organizes calendar of appointments and detailed travel plans with direction/input from Cisco leader(s)
• Works closely with Cisco leader(s) to prepare briefing and itineraries for travel-related meetings
• Assists with the planning and organization of meetings, assembling meeting materials, arranging location, and other meeting logistics
• Attends meetings and documents action items
• Answers routine/general questions and enquiries; seeks advice from other administrators and escalates matters, as appropriate, to area supported
• Manages, handles and may draft internal correspondence related to area supported that are of a confidential nature
• Provides clear and timely communication to business leaders within area supported, which typically involves the conveyance of detailed information
Minimum Qualifications:
4+ years experience in administrative environment and 2+ years supporting Director or above
