Key Responsibilities

  • Calendar & Schedule Management: Manage and optimize complex calendars, coordinate high-level meetings, and handle all travel arrangements and itineraries.
  • Communication Liaison: Act as a gatekeeper and primary liaison for the executive office. Draft, review, and manage professional correspondence, reports, and memos.
  • Meeting & Event Coordination: Organize executive-level meetings, prepare agendas, compile briefing materials, and record accurate, actionable meeting minutes.
  • Document & Policy Support: Maintain secure, organized digital and physical filing systems. Assist in formatting, organizing, and distributing institutional frameworks, academic policies, or organizational charts.
  • Project Tracking: Follow up on action items and deadlines across various departments to ensure executive decisions and initiatives are executed smoothly.

Requirements & Qualifications

  • Experience: 5–7 years of experience as an Executive Assistant, Personal Assistant, or senior administrative role, ideally within higher education or a multinational corporate environment.
  • Education: Bachelor’s degree in Business Administration, Communication, or a related field.
  • Languages: Fluent English communication skills (written and verbal).
  • Technical Skills: Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
  • Conducting research, fieldwork, and investigations, and writing up reports.
  • Publishing research, attending conferences, delivering presentations, and networking with others in the field.
  • Traveling to other universities or academic settings to participate in learning opportunities and gain experience.
  • Participating in committee, departmental, and faculty meetings.
  • Providing training and mentoring to teaching assistants and junior lecturers.
