Position Overview

We are seeking an experienced, highly organized, and proactive Administrative Assistant with a strong background in construction, property maintenance, or field service operations.

Key Responsibilities

  • Communicate directly with vendors, technicians, property managers, and internal staff to coordinate work and resolve scheduling issues.

  • Monitor vendor commitments, project timelines, and outstanding assignments to ensure accountability and follow-through.

  • Adjust schedules and priorities to accommodate emergencies, delays, and changing operational needs.

  • Maintain accurate project records, work order documentation, and communication updates.

  • Proactively identify delays, anticipate next steps, and keep projects moving without constant supervision.

Required Qualifications

  • Proven experience scheduling and coordinating outside vendors and in-house technicians.

  • Experience managing multiple work orders, projects, and deadlines simultaneously.

  • Strong understanding of construction and maintenance workflows, scheduling requirements, and project coordination.

  • Exceptional organizational, communication, and problem-solving skills.

  • Ability to work independently, take initiative, and adapt quickly to changing priorities.

  • Proficiency in Microsoft Outlook and general office software.

  • Experience with Service Fusion, CINC, or similar work order management software is a plus.
