Why This Role Matters

Our clients trust us with corporate events, conventions, and live productions where timing is everything. You make sure proposals go out right, show details reach our technicians, and every billable hour gets invoiced.

When the details are clean, the show runs smoother and the business gets paid. That's the work behind the work, and it's yours.

About LMG

LMG is a full-service event technology provider delivering video, audio, lighting, and LED solutions for corporate events, conventions, and live productions. Founded in 1984, LMG has grown from a one-room video rental office into a trusted partner for Fortune 500 companies across the nation and worldwide, organized across three divisions: Show Technology, Systems Innovation, and Touring. As part of the ETP family of brands, we go Beyond Technology by providing innovative solutions you can trust.

What You'll Do

Turn quotes into polished proposals

  • Build formal proposals for prospective clients from Account Executive quotes, using our equipment catalog and client database so every detail lands in the right place.
  • Create, track, and revise proposals, and send them to clients once approved.
  • Keep Salesforce current with every update and revision along the way.

Keep Account Executives organized

  • Manage their daily priorities: to-do lists, billings, deposits, pile walks, show synopses, calendars, and travel.
  • Answer client inquiries, gather the details, and hand off clear requirements to the Account Executive for follow-up.

Set every show up for success

  • Build show report packages and maintain Basecamp projects with the names, dates, and show details our technicians need.
  • Keep everyone on the production informed about show status, pre-production, and related issues as directed.

Get billing right

  • Generate and send deposit invoices, record payments received, and submit reports to accounting for invoicing. You may also process credit card payments.
  • Review show reports to confirm hours, rates, and billing status. Follow up with technicians to finish time sheets, and make sure all supporting documentation is attached before they go to the Account Executive for accounting.
  • Track pending billable data so every billable show is cleared and approved before it goes out for invoicing.

Be the first face and voice of the office

  • Greet visitors, let the right people know they've arrived, and give guests directions.
  • Answer incoming calls, route them to the right person, and pass along messages.
  • Schedule the conference room calendar, track the employee log, share who's available, and page employees when needed.

Keep the office running

  • Put administrative systems, procedures, and policies into practice, and monitor administrative projects.
  • Prepare mass mailings and type routine correspondence, lists, and reports. Help other administrative staff with overflow work.
  • Keep supplies stocked by checking inventory, anticipating needs, placing and expediting orders, and confirming deliveries.

What You Bring

  • A high school diploma or equivalent.
  • 2–3 years of administrative experience.
  • Accuracy on every task, no matter the size or dollar amount. Your work is correct, on time, and within company policy.
  • A reliable system for organizing your time and meeting deadlines with few or no errors.
  • Clear, concise communication. You listen for what people actually mean and welcome feedback.
  • Flexibility to adjust how you think and work when conditions change.
  • A desire to understand our policies, procedures, goals, and purpose.

Why You'll Love It Here

  • You're close to the show. Your work connects real clients, real productions, and the technicians who bring them to life.
  • Values you can see. We work by Passion, Relationships, Teamwork, Professionalism, and Continuous Improvement.
  • A track record you can count on. We've been in business since 1984 and are trusted by Fortune 500 clients, with the backing of the ETP family of brands.
