Administrative Assistant
Position Summary
The Administrative Assistant provides administrative and office support to ensure the efficient day-to-day operations of The Remedy Mental Health. This role serves as the first point of contact for visitors, manages incoming communications, supports recruiting and internal communications, and assists with a variety of administrative projects across the organization.
Essential Responsibilities
- Manage the shared company email inbox, routing inquiries to the appropriate departments.
- Monitor and distribute incoming faxes, mail, and packages.
- Welcome and assist visitors, vendors, and interview candidates.
- Coordinate candidate interviews and recruiting logistics.
- Draft and distribute the monthly employee newsletter and other internal communications.
- Maintain office supply inventory and place supply orders.
- Coordinate catering and meal orders for meetings and events.
- Maintain conference rooms and common office areas.
- Assist with preparing documents, presentations, and other administrative materials.
- Support employee events, meetings, and office initiatives.
- Maintain organized electronic and physical filing systems.
- Perform other administrative duties and special projects as assigned.
Qualifications
Required
- High school diploma or equivalent.
- 2+ years of administrative, office, or customer service experience.
- Strong organizational, communication, and customer service skills.
- Proficiency with Microsoft Office (Outlook, Word, Excel, PowerPoint).
- Ability to prioritize multiple tasks while maintaining attention to detail.
- Professionalism and the ability to maintain confidentiality.
Preferred
- Associate's or Bachelor’s degree in Business, Healthcare Administration, or a related field.
- Experience in a healthcare or professional office environment.
Physical Requirements
- Prolonged periods of sitting and computer work.
- Occasionally lift up to 25 pounds.
- Ability to move throughout the office to greet visitors and distribute mail.
