Administrative Associate

The Columbian College of Arts and Sciences (CCAS) seeks a highly skilled Administrative Associate to provide senior-level administrative and operational support to the Associate Dean for Undergraduate Studies and advance strategic undergraduate initiatives across the College. Serving as the primary administrative partner to the Associate Dean, this position manages complex scheduling, oversees office operations and budgets, coordinates high-profile events and meetings, and serves as a key resource for data analysis, communications, and project management. The Administrative Associate exercises sound judgment, works independently on a wide range of priorities, and collaborates with faculty, staff, and university leadership to support the successful execution of undergraduate academic programs and initiatives.

Responsibilities Include:

  • Manage the Associate Dean’s complex calendar, prioritizing and coordinating meetings, events, appointments, and travel arrangements.
  • Serve as the primary point of administrative support for the Associate Dean, including correspondence management, expense reconciliation, recordkeeping, meeting preparation, and follow-up activities.
  • Maintain and reconcile purchasing card transactions and provide administrative oversight of office budgets, discretionary funds, and endowments.
  • Retrieve, analyze, and present data from university systems including Banner, GW Insight, DegreeMap, Tableau, CourseDog, and other reporting platforms to support strategic decision-making and operational planning.
  • Prepare reports, briefing materials, presentations, and other documentation for leadership meetings and initiatives.
  • Coordinate logistics for meetings, committees, and events sponsored by the Office of Undergraduate Studies, including the Undergraduate Studies Committee, Directors of Undergraduate Studies meetings, and other leadership forums.
  • Provide operational leadership for major undergraduate events, including the CCAS Undergraduate Celebration, Scholar Salon, and other college-wide programs. Support the development, implementation, and evaluation of undergraduate initiatives and special projects.
  • Draft, coordinate, and distribute communications to faculty, staff, academic departments, students, and university stakeholders.
  • Maintain office technology resources, listservs, websites, and electronic records to ensure efficient operation and accurate information management.
  • Monitor and maintain undergraduate academic information, including General Education (GPAC) course data and related records.
  • Serve as a liaison with university offices, faculty leadership, and administrative units to facilitate effective communication and collaboration.
  • Provide front-office support as needed and perform other duties as assigned and related to the mission and operations of the Office of Undergraduate Studies.
