About the Role
We are seeking a detail-oriented, proactive Remote Administrative Coordinator to support day-to-day operations across our real estate brokerage and property management divisions. This role serves as a central operational point of contact for routine administrative tasks, tenant communication, listing management, and document workflows.
Key Responsibilities
- Communications & Support: Triage incoming calls and emails. Send routine rent reminders to tenants. Send new-tenant/owner welcome packets.
- Software & Listings: Maintain Yardi tasks and data entry for new tenants, owners, and vendors. Update vacancy listings on external sites (KSL, LoopNet, Facebook).
- Tracking & Documentation: Populate lease and renewal addendums using set templates. Log W-9s, insurance certificates, vendor quotes, and maintain shared calendars.
- Coordination: Participate in weekly check-ins with our accounting firm and assist with AP/deposit document routing.
Requirements
- Software: Hands-on experience with Yardi or any other similar software and proficiency in Microsoft Office.
- Communication: Fluent, clear spoken and written English for phone and email duties.
- Schedule: Ability to overlap at least 5–6 hours per day during US MST business hours.
