Role

About the Role

Behind every well-organized department is someone who knows how to connect the details, anticipate what's needed, and keep important priorities moving. As the Administrative Coordinator at Southland Credit Union, you'll provide high-level administrative and operational support to our SVP of People & Culture while helping coordinate the projects, communications, and initiatives that support the broader department.

This role combines executive-level administrative support with presentation development, communications, and project coordination. You'll help manage priorities, prepare materials for leadership discussions, organize departmental activities, and ensure important follow-ups don't get lost. Your ability to exercise sound judgment, work independently, and bring structure to complex details will make you an important resource to the People & Culture team.

Major Duties and Responsibilities

Supporting Leadership and Keeping Priorities Moving

You'll work closely with the SVP of People & Culture to manage schedules, coordinate meetings, prepare agendas, organize leadership materials, and ensure discussions and follow-up items stay on track. You'll also draft and format correspondence, reports, and professional documents while maintaining organized departmental records and resources.

Being effective in this role means knowing how to look ahead. You'll anticipate administrative needs, navigate scheduling conflicts, manage competing priorities, and use good judgment when handling sensitive employee and organizational information. From coordinating appointments to tracking outstanding assignments, your organization and follow-through will help keep departmental priorities moving.

Turning Information Into Clear, Professional Communications

You'll use your organizational and creative skills to develop polished, executive-ready presentations, reports, and supporting materials for leadership discussions, departmental meetings, employee training, and organizational initiatives. You'll take information and data and translate them into clear, visually engaging materials that communicate priorities, support decision-making, and keep others informed.

You'll also help shape how People & Culture communicates with associates. This includes preparing employee announcements, newsletters, departmental updates, and informational resources, as well as creating presentation templates and maintaining SharePoint pages and intranet content. Whether you're preparing materials for a leadership discussion or helping communicate an employee initiative, accuracy, thoughtful presentation, and attention to detail matter.

Coordinating the Work Behind People & Culture Initiatives

People & Culture supports a variety of programs and initiatives that contribute to the associate experience, and you'll help coordinate the details that bring them together. You'll maintain project timelines, trackers, and status updates, follow up on outstanding deliverables, and coordinate logistics, communications, and materials for employee engagement programs, training sessions, recognition activities, and organizational events.

You'll also support the ongoing work of the department by helping prepare and maintain HR policies, procedures, forms, and resources. Compiling information, conducting research, and preparing reports will give the team additional support for planning and decision-making. You'll also assist with administrative responsibilities such as invoice processing, expense reports, purchasing, and budget tracking.

Success in this role means leadership has the organization and support needed to stay focused on priorities, departmental initiatives remain coordinated, and communications and materials are accurate and professionally prepared. Just as importantly, the people you support can rely on you to anticipate needs, take ownership, and follow through.
