Administrative Executive

We are seeking a proactive and detail-oriented Administrative Executive to join our team. This role is crucial in supporting our conveyancing department with administrative and clerical tasks, ensuring smooth day-to-day operations.


Job Responsibilities

  • Draft and send letters to clients, and stakeholders regarding conveyancing matters
  • Respond to client inquiries professionally via phone, and email.
  • Schedule and organize appointments, meetings, and follow-ups with clients and external parties.
  • Prepare and organise legal documents for conveyancing transactions (e.g., sale and purchase agreements, tenancy agreements, title deeds).
  • Maintain an organised filing system, both physical and electronic, ensuring all documents are stored securely.
  • Enter conveyancing transaction records and related data into case management system.
  • Ensure timely and accurate update of data, documents into system and files.
  • Monitor key dates dates and deadlines related to conveyancing transactions.
  • Perform general office tasks, including filing, photocopying, scanning, and archiving.
  • Other ad-hoc office administration support as and when necessary.

Job Requirements

  • Minimum GCE “O” level, least 1 – 2 years of relevant working experience
  • Pleasant personality, friendly and smiley
  • Fluent command of English and Mandarin in order to liaise with Mandarin speaking associates.
  • Professional presentation and excellent customer handling skills
  • Pleasant demeanour, positive attitude with an eye for details and willingness to serve
  • IT savvy and proficient quality work
  • Able to multi task and work in a fast paced environment
  • People-oriented team player with excellent interpersonal and communication skills
