Position Summary
The Administrative Legal Support Specialist will provide operational and clerical support to the PA Foreclosure Departments Onsite in the Media, PA office. This position plays a critical role in ensuring timely handling of incoming mail as well as supporting attorneys, paralegals, and department leadership by managing high-volume administrative tasks that directly impact case movement, client reporting, and operational efficiency.
Essential Duties and Responsibilities
- The essential functions include, but are not limited to the following:
- Electronically file pleadings, affidavits, motions, notices, and supporting documentation in compliance with jurisdictional requirements and filing deadlines
- Preparation/compilation of complaint/service/judgment and listing packages for attorney review/signature and for mailing
- Check processing (both receiving of refunds/reimbursements and requesting/printing)
- Update and maintain client systems and internal workflow platforms, including accurate step completion, status updates, and milestone tracking
- Monitor department queues to ensure administrative and clerical tasks are completed timely and accurately
- Coordinate document handling, uploading, downloading, saving, and organization within internal systems and client platforms
- Assist with follow-up on outstanding filings, service issues, returned mail, and court processing deficiencies
- Ensure compliance with firm procedures, court requirements, and client expectations related to filings, service, and case management updates
- Support high-volume operational needs for all departments, allowing legal staff to focus on substantive legal work and case strategy
- Perform general administrative and clerical tasks related to foreclosure workflow and case progression
