Administrative Management Specialist
Summary
Administrative role managing USDA correspondence, records, and executive support using legacy and new systems while improving workflows and customer service.
This position is in the Office of the Executive Secretariat (OES). The mission of OES is to expertly manage data on correspondence and documented decisions (records) for the Secretary and Deputy Secretary across many USDA offices, using information system platform for intake and file management. This position will perform a variety of tasks in support of OES leadership and requires regular interactions/customer service with the Department's various agencies and staff offices on controlled files.
Provides analytical and administrative support for a variety of OES program initiatives and operations.
Performs studies of clerical work processes and projects related to program operations in the areas of management and productivity improvement and work planning.
Managing, tracking, coordinating, and monitoring projects and initiatives in support of OES.
Ensures that documents associated with projects are presented in a manner that is easily read by reviewers. Utilizes legacy correspondence systems and new agency correspondence systems.
Receives a wide variety of OES-related inquiries from throughout USDA and from other agencies. Processes USDA intake in alignment with the Dispatch correspondence system.
Receives and assesses a variety of requests and researches and responds to inquiries and issues.
Provides recommendations to leadership for improvements, such as enhancing productivity or improving customer service.
Identifies issues and deficiencies related to work and recommends improvements for effective and efficient operations.
Proactively coordinating initiatives, efficiently handling intake and auditing Dispatch's intake of executive correspondence, and tracking and maintaining related records, while providing status reports.
