Administrative & Operations Manager - Grants [IHL/Govt]

We are looking for a proactive and highly organised

Administrative & Operations Manager

to oversee daily office operations, corporate governance, finance administration, and stakeholder coordination within a dynamic, mission-driven organisation. This is an excellent opportunity for candidates who enjoy working in a lean environment and partnering with senior stakeholders across academia and the public sector.

  • Location: One North
  • Salary: Up to $6.5k

Key Responsibilities

  • Manage corporate governance and secretariat functions, including coordinating meetings, preparing meeting materials, recording minutes, and supporting statutory submissions.
  • Support grant and funding administration by monitoring project documentation, tracking budgets, expenditures, and key project deliverables.
  • Coordinate finance and audit activities, including invoicing, membership subscriptions, liaising with external accounting service providers, and supporting annual audits.
  • Oversee day-to-day office operations, procurement activities, facilities management, vendor contracts, and IT/telecommunication services.
  • Act as the primary administrative liaison with member institutions, government agencies, and external stakeholders.
  • Ensure compliance with organisational policies, public funding requirements, and data protection regulations (PDPA).
  • Perform other operational and administrative duties as assigned.

Requirements

  • Degree in Business Administration, Corporate Governance, or a related discipline.
  • 3–5 years of experience in office management, corporate administration, or operations management.
  • Prior experience in Institutes of Higher Learning (IHLs), statutory boards, non-profit organisations, or public sector environments will be an advantage.
