Administrative Project Coordinator in Melbourne
Job Description
Part-Time | Approximately 20 Hours/Week | $24–$27/Hour | Melbourne, Florida | Primarily In-Person
Highly organized, independent Administrative & Project Coordinator needed to support a varied mix of family-office, commercial real estate, property, organizational, and business-development responsibilities.
This is a broad, high-responsibility role that goes well beyond transaction coordination, with opportunities to develop systems, research solutions, support strategic planning, and take ownership of meaningful projects. The work may include site selection, event planning, client relations, commercial real estate initiatives, and other business projects.
The role also includes an important administrative and systems component. Initial priorities will include organizing physical and digital records, refining filing and tracking systems, developing recurring workflows, identifying open items, and creating practical systems across several responsibility areas.
The Opportunity:
- Family-office administration, including trust, property, entity, insurance, vendor, and professional-advisor coordination
- Commercial real estate operations, site-selection research, property administration, and project coordination
- Marketing and business-development support, including client outreach, newsletters, email campaigns, CRM management, and social media
- Event planning and coordination for a major commercial real estate professional organization
- Research, vendor coordination, and special projects
- Development and maintenance of administrative systems, workflows, trackers, and project-management tools
Responsibilities May Include:
This role should appeal to someone who enjoys variety, autonomy, problem-solving, and being involved in work that matters.
The right person will have the opportunity to contribute to strategy, help shape consequential decisions, and take ownership of meaningful projects from the beginning. While administrative work is an important part of the position, the role is not intended to remain narrowly clerical. There is significant room to help shape the position and expand into broader family-office operations, commercial real estate, marketing, project coordination, and business management.
Ideal Background
Helpful experience may include executive or administrative support, real estate, project or office management, family-office or professional-services environments, event planning, marketing, CRM management, and document or records organization.
Comfort with Excel and/or Google Sheets, online forms and shared cloud-based tools, and basic design platforms such as Canva would be valuable.
A current or former real estate license would be helpful, but is not required.
The right person will be dependable, discreet, highly organized, comfortable with confidential information, and able to work independently. Strong follow-through and sound judgment are essential.
This is intended to be an ongoing part-time position of approximately 20 hours per week, with room for the role to grow and evolve over time based on fit, ability, and need.
Please send a resume along with a brief note describing your background and why this type of role interests you.
