Administrative Secretary - Access and Disability Services

The work is primarily indoor and sedentary in nature.On occasion, the position will require moving between offices and buildings to provide testing services. The position also requires scheduling flexibility for evening hours in order to accommodate student needs.

Answers telephone calls and emails. Schedules appointments/meetings for the staff and maintains the student appointments in AIM software.

Maintains the confidentiality of all student, and staff, records.

Generates requisitions, purchase orders, budget transfers, petty cash reimbursements, deposits, and transaction adjustments.

Purchases non-copy paper supplies and authorizes print orders through the Print Shop.

Prepares Oracle reports for ADS budget managers.

Submits requests for service or repair to the Facilities Department. Makes note and submits requests for campus physical accessibility features that need repair.

Prepares and submits student aide job postings. Provides administrative coordination for interviews and communication with candidates.

Creates and submits Custom Requests for ADS staff requiring interpreter services.

Assists with the approval of Accommodation Request Notification Letters.

Submits ADA accessible desk requests in collaboration with the Operations Services.

Submits room/space requests through the 25Live System.

Supports Coordinator of Test Accommodations as proctor, reader or scribe for students requiring such accommodations.

Serves as a back-up to provide approved testing accommodations to students in the absence of the Coordinator of Test Accommodations.

Makes copies, sends/picks up faxes and opens, sorts and distributes mail.

Serves as a back-up for the reception desk.

Performs related duties as assigned.

Education: High school graduate, A.A. degree preferred. Specialized training in office and secretarial skills.

Experience: At least one year of progressively responsible secretarial/office experience. Excellent organizational skills, communication skills, and attention to detail are required. Experience working with individuals with disabilities preferred. Must have excellent computer skills and working knowledge of the Microsoft Word, Excel, Teams, and Outlook. Bilingual Spanish or ASL a plus.
