We're looking for a detail-oriented and organized Administrative Secretary to join our Neurosurgery Research Lab in Detroit, United States. In this role, you will serve as a key administrative support professional, ensuring smooth operations and providing essential organizational support to our dynamic research team. You will be responsible for managing schedules, coordinating communications, maintaining records, and supporting the day-to-day activities of our collaborative research environment. - Manage and maintain calendars for laboratory staff, scheduling meetings, appointments, and research activities with precision and flexibility
- Prepare, format, and organize research documents, reports, and correspondence with meticulous attention to detail and accuracy
- Maintain confidential files and records using established filing systems and digital databases while ensuring compliance with regulatory requirements
- Coordinate communications between research team members, collaborators, and external stakeholders in a professional and timely manner
- Perform data entry and record-keeping tasks related to research activities and laboratory operations with careful attention to accuracy
- Assist with the organization and coordination of lab meetings, seminars, and research presentations to support team collaboration
- Support the onboarding and administrative needs of new team members, ensuring a smooth integration into the laboratory
- Manage office supplies inventory and coordinate procurement as needed to maintain efficient laboratory operations
- Answer phones and direct inquiries to appropriate team members in a professional and courteous manner
- Assist with grant administration, budget tracking, and financial documentation to support research funding initiatives
- Maintain laboratory compliance documentation and assist with regulatory record-keeping to ensure adherence to institutional standards
- Provide general administrative support to laboratory leadership and research staff, adapting to evolving priorities and supporting team goals
- Proven experience in an administrative or secretarial role, preferably in a research or academic setting
- Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and email management systems
- Strong organizational and time management skills with the ability to prioritize multiple tasks effectively
- Excellent written and verbal communication skills with the ability to interact professionally with diverse stakeholders
- Demonstrated ability to maintain confidentiality and handle sensitive information with professionalism and discretion
- Meticulous attention to detail and accuracy in document preparation and data entry
- Ability to work independently and collaboratively within a team environment, supporting shared objectives
