We're looking for an Administrative Specialist who loves keeping things running like clockwork, creating a welcoming space, and being the reliable backbone that every great team needs. Sound like you? Here's what your day-to-day will look like:
- Support daily office operations, including document management, filing systems, correspondence, and administrative invoice handling, keeping everything organized and on track.
- Own incoming and outgoing mail distribution, package handling, and courier coordination, so nothing gets lost in transit.
- Manage office supplies from inventory checks to ordering, ensuring the team always has what they need.
- Coordinate with facility management, maintenance providers, and other service partners to keep our office spaces in top shape.
- Support employee onboarding activities, including registering access chips and facilitating onboarding sessions for new hires.
- Own front desk and visitor management, including guest registration, access control, and host coordination, making every visitor feel genuinely welcome.
- You hold a Bachelor's degree or completed vocational training in Business Administration, Office Management, or a related field.
- You bring at least 2 years of hands-on experience in office administration, facilities coordination, executive support, or a similar administrative role.
- You are proactive, independent, reliable, and detail-oriented - someone who takes ownership without needing to be asked twice.
- You are a natural multitasker with strong organizational skills, able to juggle priorities with a calm and structured approach.
- You communicate clearly and confidently, with strong interpersonal skills that help you build great relationships across teams.
- You are proficient in Microsoft Office applications (Word, Excel, PowerPoint, Outlook) and comfortable navigating digital tools.
- Language skills: English C1 or higher; German B2 or higher; Chinese is a strong advantage.
- Driver license is a plus.
