Description

Overview

Nelson Mullins, an AmLaw 100 law firm, is seeking a proactive, detail-oriented team player to provide administrative and operational support to a dynamic team of legal professionals in our Uptown Dallas office. The ideal candidate will have a “can-do” attitude, anticipate needs, manage competing priorities, and work effectively in a fast-paced environment.

A Day in the Life

This role is integral to our team’s success! As an Administrative Support Assistant (ASA), you’ll gain valuable experience working alongside our Legal Administrative Assistants (LAAs) and legal teams while handling a variety of responsibilities, including filing; organizing emails and documents within our document management system; assisting with conflict checks; proofreading and formatting documents; compiling client-related documentation; scanning; and entering time into our database. In this role, you’ll also assist with travel arrangements, billing, expense processing, records management, and mail distribution.

In addition to providing administrative support, in this role you’ll assist with general office operations and hospitality needs. Responsibilities include preparing conference rooms for client and internal meetings and office events; coordinating refreshments; monitoring and replenishing office, kitchen, and conference room supplies; and maintaining professional, organized common areas. You’ll also serve as a backup receptionist by greeting clients and visitors, answering and directing calls, and assisting with other day-to-day office needs.

We Know You

Successful candidates will demonstrate professionalism, adaptability, sound judgment, strong organizational and communication skills, and a willingness to assist wherever needed. The ability to work collaboratively, maintain confidentiality, and follow through on assignments with minimal supervision is essential.

Prior office experience is required, with law firm or professional services experience preferred. Candidates must be proficient in Microsoft Office, including Word, Excel, and Outlook, and possess strong proofreading skills and technical aptitude. They should also be comfortable learning new systems and using electronic workflow and document management tools.

This is an excellent opportunity for someone who enjoys a varied role that combines administrative and operational responsibilities while contributing to an efficient, organized, and client-focused workplace.
