Administrative Support Assistant (OA) (Temporary)
You will serve as a Administrative Support Assistant (OA) (Temporary), in the Facilities Management Division. This is a temporary position expected to last 1 Year but may be extended up to a maximum of two years based on agency needs and potential funding. This position is being filled under the Field Unit Local Hiring Authority (FUL). See below under Additional Information for further eligibility guidance. Answer telephone and provide general information to coworkers on facilities issues. Receive and distribute incoming mail and prepare outgoing mail for delivery. Maintain central filing system. Anticipate need for and assemble reports, files, and documents relating to calls. Coordinate with division budget and finance functions. Prepare program documents and record expenditures from purchase documents. Provide monthly statements of commitments, obligations and status funds, with recommendations to supervisors. Recommend program adjustments to resolve discrepancies. Serve as a travel coordinator. Provide travel documents including authorizations and vouchers and provide technical assistance to all travelers. Instructing, installing, and troubleshooting the travel software program. Prepare payroll for office employees. Serves as timekeeper and is responsible for time/attendance reports for employees. Maintain property inventory records to ensure all property is properly numbered and accounted for. Review purchasing reports from employees before sending to the Contracting Officer. Submitting payments on invoices. Receive incoming supplies, materials, and equipment. Use a computer and software for data collection and analysis. Type in final form: field notes, drafts, correspondence, letters, memoranda and reports in the proper format NOTE: Legislation provides that federal salaries in Hawaii will transition from base pay plus a cost-of-living allowance (COLA) to the locality pay-based system that applies in the 48 contiguous states. Locality pay will be phased in, and COLA will be phased out accordingly through annual reductions. Currently, the COLA pay in Hawaii is 8.64% with the exception of Hawaii island, which is 2.91%. The salary annotated on this announcement includes the locality, however, does not include the cost-of-living allowance. Area Information: Hawaii Volcanoes National Park (HAVO) is located on the island of Hawaii, on the southeastern edge of the island, in the districts of Ka'u and Puna, between the towns of Hilo to the northeast and Kailua-Kona to the northwest. It is located 2,500 airline miles from the continental Unites States and over 250 miles from Honolulu on the island of Oahu, the major business, government, and industrial supply center for the state. The park was established in 1916 and encompasses two of the most active volcanoes in the world, Kilauea and Mauna Loa; a diverse geography that ranges from sea level to 13,677 feet in elevation; and protects rich biodiversity and Native Hawaiian culture.
