WHAT YOU WILL DO:

Provides reception and clerical support to ensure service center operations run smoothly. The Island County Administrative Assistant II provides reception and clerical support to Opportunity Council’s Oak Harbor office and ensures service center operations run smoothly.

WORK SCHEDULE:

This position works four 9 hour shifts and one 4 hour shift. Mon-Thurs: 7:30am-5pm, Friday is flexible between 8am-4pm.

LANGUAGE REQUIREMENT:
To effectively serve our diverse community, this position requires fluency and proficiency in English and Spanish.

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES:

  • Serves as receptionist and primary contact (in-person or over the phone) to greet and direct visitors within Opportunity Council’s Island County office in Oak Harbor.
  • Provides clerical support for the Island County staff (all programs), including assisting with mailings, filing, faxing, purchase orders, photocopying and word processing. Maintains the supply cabinet and completes supply order lists as needed; manages the tracking, receiving and order placements for supplies and programs as directed by Director.
  • Verifies HEN program eligibility, maintains files and fulfils HEN supply requests.
  • Assists with content management and design for Opportunity Council social media platforms, in partnership with the Director. Assists Director with program and event publicity and social media as needed.
  • Performs Salesforce data entry to provide accurate accounts of households requesting services in Island County. Maintains tracking info for various programs for CSBG entries.
  • Performs HMIS data entry and assists in tracking data quality. Completes reports on a monthly basis, in order to track accurate reporting, as per grant requirements.
  • Assists Director in tracking in-kind and monetary donations, and creates and processes acknowledgement and thank you letters. Assists with service center fundraising events, mailings and donor data entry as needed.
  • Coordinates with Director to set up Team, Zoom or other platform meetings, and records and distributes meeting minutes as needed.
  • Assists Director with grant tracking system, routes contracts and grants, and obtains signatures as needed.
  • Collects appropriate documentation from clients and assists with issuing Solid Waste Cards and Salvation Army Vouchers. Tracks and reports cards and vouchers appropriately for each grant/contract.
  • Coordinates with Director to plan events/meetings/trainings that encourage team building, boost morale and foster communication amongst the service center team.

BILINGUAL POSITIONS ONLY:
Specialize in providing services to clients and families who speak a language other than English as a primary language. May occasionally be asked to support with translating/interpreting a language other than English to assist potential or current clients.

OUR IDEAL CANDIDATE WILL HAVE:

  • High school diploma or equivalent
  • Three years’ clerical or administrative experience
  • Experience in providing customer service in an office, retail, or similar setting
  • If hiring for a bilingual position, must be able to speak, read, and write with proficiency and fluency in the required language.
