The Opportunity:

The Victims Services Branch of the Ministry of Justice is seeking a skilled, ethical, confident individual to work at the Victim/Witness Services office to provide comprehensive clerical support in Saskatoon.

Our candidate of choice will have excellent communication and interpersonal skills with a keen sense for detail. As administrative support, you will type correspondence, reports and ministerial referrals; coordinate meetings as required; plan, schedule and co-ordinate travel and logistics for meetings and other events; and photocopy and file documents. Accuracy and confidentiality in all that you do is a must in this position. Using exceptional client service skills, you will greet walk-in clients and telephone callers, providing them with accurate information in a professional and respectful manner ensuring confidentiality is maintained at all times.

You must be a creative and principled individual who enjoys using your advanced administrative skills. As the successful candidate, you must have the demonstrated ability to use a wide variety of computer applications and knowledge and skills related to office and administrative procedures and protocols, including the ability to interact with colleagues and challenging clients with diplomacy and integrity.

This is a part-time position of approximately 22 hours per week.

  • Respond to telephone inquiries from the public and redirect calls.
  • Monitor and code expenditures, and prepare and process business expense forms, invoices, and contracts.
  • Provide support to the team, including assisting with equipment and software issues.
  • Compose, record, proofread, and edit a variety of correspondence.
  • Coordinate and schedule travel, event logistics, meetings, equipment, and CVA vehicles as required.
  • Compile, sort, and distribute incoming and outgoing mail.
  • Acquire, purchase, and maintain inventory such as forms, office supplies, and equipment.

  • Input, edit, update, retrieve, maintain, format and transmit data, create and generate queries, reports and documents using word processing databases, spreadsheets, communications and other software packages with speed and accuracy; (technical - computer skill)
  • Empathetically listen to and calmly and courteously acknowledge the concerns and questions of clients and staff who may be confused, upset , frustrated and difficult to deal with, to determine the problem or concern and provide accurate information, advice and/or guidance; (interpersonal skill)
  • Clearly and accurately explain complex issues, policies, procedures, legislation and other information to clients and colleagues; (verbal communication skill)
  • Accurately, concisely and in a timely manner compose, record, proofread and/or edit a variety of correspondence using correct grammar, spelling and punctuation paying attention to detail; (written communication skill)
  • Quickly and accurately record and transcribe minutes of meetings; (written communication skill)
  • Update, archive and maintain electronic and manual filing systems ensuring data and information is up-to-date and well preserved, easy to locate/retrieve; (technical - filing skill)
  • Precisely plan, schedule and co-ordinate travel and logistics for events such as meetings, conferences and workshops according to prearranged time frames; (organizational skill)
  • Accurately reference, interpret and appropriately apply acts, regulations, policies and guidelines to daily operations; and (analytical)
  • Independently assess, organize and accurately complete multiple tasks taking into consideration task complexity, frequent interruptions and deadlines. (organizational skill)
