The role of Team Administrator is to support the HPFT Inpatient Occupational Therapy team with data and organising, resourcing and general administration.
The team are looking for a 0.4 FTE (15 hours) administrator - this can be worked flexibly between Monday - Friday 8am - 5pm.
You will be based primarily at Kingfisher Court site, Radlett.

Main duties of the jobThe team has a vacancy for a highly motivated administrator to join a busy inpatient occupational therapy service.
The role will be working alongside a team of occupational therapists, assistant OTs, arts therapists and physios.
The role will support with data entry and management to ensure the smooth-running of the department, working with spreadsheets using HPFT inhouse IT systems, including PARIS, to record data and case management updates, along with meeting organisation and recording. There will also be responsibility for managing the petty cash for the department.

Detailed job description and main responsibilities-
Responsibility for ensuring all correspondence is accurately and appropriately presented using current methodologies and medical terminology used by the team.

To be highly skilled and experienced in the full range of secretarial work practices, software programmes, and specialised functional terms.

To be highly proficient and expert in Paris electronic patient record system, advising and guiding others in team, supporting new users and instructing them as necessary.

To be highly proficient in supporting Head and Lead OTs with the e-roster system.

To use proficient internet skills to access, search and retrieve data relevant to team.

To use touch typing, audio skills as necessary in daily work

To use knowledge, and experience to meet the needs of the teams by completing non-routine tasks on a daily basis

To update skills as necessary and attend mandatory training

To work unsupervised, on a daily basis, prioritising own workload, using initiative as to what is routine and what is urgent.

To use agreed guidelines/procedures and developed knowledge/skills/qualifications when working autonomously and managing own work.

To participate in yearly appraisals with supervisor/line manager
- educated to secondary level
- advanced IT skills
- minimum two years' office experience
- NVQ3/RSA3/European Computer Driving License - or equivalent
- Knowledge of Microsoft Packages
- Experience of filing systems
- Experience of recording and transcribing meetings
- Knowledge of medical and therapy terminology
- Experience of being self-directed
- Good communication skills
