Admissions Associate - North Campus

General Description: The Admissions Associate - North will assist the Chief Enrollment Officer with a focus on promoting the North Campus (NC). Ensure a seamless and exceptional customer service process from inquiry to enrollment. Assist in discipling students and supporting the campus’s spiritual development plan. This is a twelve month position with some evening and weekends required for special events. The scheduled number of weekly hours is 40 per week

Duties and Responsibilities:

Overall

  • Serve as the Family Ambassador for all NC families, both current and prospective
  • “Own” the relationship with NC families during the application process, acting as the primary point of contact
  • Confidently share the gospel as opportunities arise with prospective parents.
  • Build relationships with the community with the goal of advancing NC enrollment
  • Collaborate with Marketing department on “target marketing” results and potential opportunities
  • Attend networking events (Chamber meeting, outreach to “feeder schools”, PBC events, etc.)
  • Support the campus spiritual development plan

Applicant Management

  • Create all NC applicant files
  • Notify parents of receipt of applications and need for any additional documents/information
  • Walk families through the entire admissions process, maintaining open communications “touch points” throughout the process
  • Conduct tours for prospective families
  • Serve as primary contact for calls inquiring about the school’s admissions process
  • Administer admissions assessments
  • Assist in enrollment for new students
  • Assist with the Parent and Student Ambassador program, including creating a system for connecting new families with returning families who will serve as “partner families”
  • Assemble materials that are distributed to prospective parents (packets and curriculum guides)

Event Coordination

  • “Own” NC Preview events (contact hosts, work with students, reserve room, order food, decorate tables, etc.)
  • Collect and manage RSVPs for NC admissions events, follow-up as directed
  • Maintain list of attendees on Finalsite and distribute to Admissions team
  • Perform follow-up tasks including, but not limited to: emails, calls, mailings, etc.

Pipeline Management

  • Follow prescribed processes and timelines with regards to following-up with prospective students
  • Keep all Families and Student statuses up-to-date at all times in Salesforce.com
  • Track all activities (calls, emails, tasks, etc.) in the CRM system
  • Enter all call-in and walk-in inquiries in the system on a daily basis
  • Monitor assigned families yield and fallout
  • Provide updates during weekly pipeline meetings for all NC families in the pipeline

Community Presence

  • Develop a relationship with the CLC North Director
  • Have a presence at identified community events
  • Attend PBC event(s) where PCA North is highlighted

Qualifications/Skills:

  • Proficiency in social media venues;
  • Proficiency in digital photo/video sharing
  • Strong public relations background; excellent people skills
  • Creative thinking, marketing, and public relations
  • Admissions experience and/or education experience preferred
  • Exceptional verbal and written communication and negotiation skills
  • Ability to effectively communicate ideas and goals both inside and outside PCA
  • Commitment to PCA’s Vision Statement, Mission Statement and Core Values
  • Ability to retain confidential information about PCA’s constituents
  • Proficiency with all Microsoft Office products, Blackbaud, and salesforce
  • Requires being available to work occasional evenings and weekends

Physical, Mental Requirements and Work Environment:

  • Regularly sit, talk, walk, hear, and to visually intercept visitors
  • Computer work at the computer requiring repetitive finger motion and manual dexterity
  • Good vision required (with correction) due to the need for focusing ability and close vision. Color discrimination, peripheral vision and depth perception are also important
  • Be able to occasionally lift between 10 – 20 pounds
  • Regularly use close and distance vision
  • Works at desk and computer screen for extended periods of time
  • Turns, bends, reaches and may occasionally use a step stool or ladder
  • Work primarily in a traditional climate controlled office environment with occasional outside travel between buildings or during outside Admission events
  • Ability to handle moderate stress level as position requires multi-tasking and frequent interruptions
  • Up to several hours of walking and standing especially during event set-up and execution
  • Subject to working more than required usual hours during event execution
  • Ability to manage multiple coinciding projects
  • Ability to communicate effectively, even in stressful situations
  • Professional appearance and dress required, as this person is often the “host” of PCA-wide meetings and events
