Cleveland Institute of Art (CIA), a private college of art and design, seeks a candidate to fill the full-time position of Advancement Coordinator. Reporting to the Advancement Operations Manager, the Advancement Coordinator provides essential administrative, project coordination, and operational support for the Institutional Advancement team. This position plays a key role in supporting fundraising initiatives, donor engagement, grant administration, events, and day-to-day departmental operations that advance the College's mission and philanthropic goals.
The Advancement Coordinator helps ensure the efficient execution of Institutional Advancement programs by coordinating projects, maintaining accurate donor and constituent records, supporting fundraising and stewardship activities, and assisting with departmental communications and events. The position serves as a central resource for administrative and operational functions, helping the Advancement team maintain strong relationships with donors, alumni, community partners, and institutional stakeholders.
The Advancement Coordinator is responsible for supporting donor relations and fundraising efforts through gift processing, donor acknowledgment activities, database maintenance, prospect tracking, and report generation. The position maintains accurate donor and constituent information, assists with fundraising campaigns, and supports stewardship initiatives that strengthen engagement with supporters of the College. This role also serves as an important partner in ensuring the integrity and effectiveness of advancement data and operational processes.
In addition, the Advancement Coordinator supports institutional giving efforts by assisting with grant-related research, documentation, data collection, and reporting activities. The position works collaboratively with the Director of Institutional Giving and Relations and other campus partners to coordinate information needed for grant proposals, reports, and funding requests. The Coordinator also maintains records related to grant opportunities, submissions, awards, and reporting deadlines.
The position plays a significant role in planning and coordinating donor, alumni, and Institutional Advancement events, including cultivation activities, board and committee meetings, exhibition openings, and special programs. Responsibilities include coordinating logistics, invitations, registrations, communications, and follow-up activities that contribute to successful events and meaningful engagement opportunities.
The successful candidate will be a highly organized, detail-oriented professional who enjoys working in a collaborative environment and supporting a variety of projects and priorities. They will possess strong communication and customer service skills, a commitment to accuracy and confidentiality, and a desire to contribute to the growth and success of the College's advancement efforts.
Qualifications
The successful candidate will possess a bachelor's degree or an equivalent combination of education and experience.
Candidates should have one to three years of professional experience in administration, project coordination, customer service, event planning, nonprofit operations, higher education, or a related field. Experience supporting fundraising, donor relations, advancement services, grant administration, or nonprofit programs is preferred.
Preference will be given to candidates with experience using donor management or CRM platforms such as Raiser's Edge, as well as individuals with strong proficiency in Microsoft Office applications, including Excel, Outlook, Word, PowerPoint, and mail merge functions.
The successful candidate will demonstrate exceptional organizational and project management skills, strong attention to detail, excellent written and verbal communication abilities, and the capacity to manage multiple priorities simultaneously. The ability to work independently while collaborating effectively with colleagues, donors, volunteers, and community partners is essential.
Compensation
This is a full-time, non-exempt position with a 35-hour work week. Compensation is commensurate with experience and qualifications. CIA offers a comprehensive benefits package including paid time off, holidays, health and dental insurance, retirement contributions, tuition remission, and more.
