Here's how you will contribute to the success of the company

We are looking for a highly organized and autonomous Travel & Events Agent to support internal HR events, travel logistics, and promotional operations.

This role is focused on hands-on execution and operational support, ensuring seamless delivery of employee experiences, particularly during high-volume seasonal periods.

You will manage multiple priorities across internal events, travel coordination (supported by an external agency), and logistics, working closely with internal stakeholders and vendors.

This is a fast-paced role with seasonal peaks (September–October and April–May), requiring strong autonomy, adaptability, and attention to detail.

Here's what your day-to-day will look like in this role

Key Responsabilities:

HR Events

  • Execute and support internal HR events (kick-offs, employee events, celebrations, offsites)
  • Coordinate logistics end-to-end: venues, vendors, setup, and on-site execution
  • Provide on-the-ground support during events, including occasional evening activities
  • Ensure smooth execution of high-visibility employee experiences

Travel Operations

  • Support corporate travel arrangements (primarily flights and hotels)
  • Work closely with external travel agency for bookings and changes
  • Handle urgent or last-minute travel adjustments when needed

Promotional & Operational Support

  • Coordinate swag, promotional items, and event materials
  • Track orders, deliveries, and logistics
  • Support distribution and operational follow-up for internal initiatives

Here's what you need to have and master to get the job

  • Minimum 3 years of experience in event operations, administration, logistics, or coordination-heavy roles
  • Strong organizational skills and ability to manage multiple priorities under pressure
  • High attention to detail and strong execution rigor
  • Autonomous, resourceful, and comfortable working in ambiguity
  • Strong communication and stakeholder management skills
  • Calm and effective in handling last-minute changes or unexpected issues
  • Proficiency in Microsoft Office Suite (especially Excel)
  • Bilingual in French and English

Physical requirements of the role

  • This role may include occasional physical tasks, such as the handling and lifting of light loads as part of event setup and dismantling activities (e.g., promotional booths and materials)

Assets

  • Experience in corporate travel coordination or working with travel agencies
  • Experience in HR/internal events or employee engagement activities
  • Exposure to logistics, vendor coordination, or promotional operations
  • Access to a vehicle for occasional site visits (asset; approx. 4–6 times/year)
