Noonan Real Estate Agents is an established Sydney real estate business managing approximately 3,000 properties, with property sales and maintenance divisions and teams based in Australia and the Philippines.

We are making a major investment in AI and are looking for an exceptional AI & Automation Manager to lead the implementation.

This is not a software developer role and it is not simply an IT support role.

We want someone who understands AI, Microsoft 365 and business processes well enough to connect our people, information and existing systems and make AI genuinely useful across the entire organisation.

What we are trying to achieve

Our goal is to develop an AI “Central Brain” for the business.

We want AI to help us capture and connect information flowing through:

• Microsoft 365

• Copilot

• Outlook and email

• Microsoft Teams

• Teams Phone

• SharePoint

• Property management systems

• Maintenance systems

• Leasing systems

• Inspection systems

• Sales systems

• Other specialist real estate technology

The objective is simple:

Important information should not get lost. Tasks should not get forgotten. Management should have better visibility. Staff should have AI helping them do their jobs.

Where possible, we want to integrate and maximise the software we already have rather than build new software unnecessarily.

What you will do

You will become the internal person responsible for driving our AI transformation forward.

You will work directly with the Founder/CEO and senior management.

Your responsibilities will include:

1. AI Implementation

Help implement Microsoft Copilot and other appropriate AI technologies throughout the organisation.

Identify practical opportunities where AI can save time, improve service, reduce mistakes and improve accountability.

2. Build our organisational knowledge

Help organise our company's knowledge so AI can actually understand how Noonan operates.

This includes:

• Policies

• Procedures

• Staff responsibilities

• Department processes

• Training material

• Templates

• Management knowledge

• Operational information

You will help create and maintain the company's AI knowledge environment.

3. Microsoft 365 & Copilot

Work heavily with our Microsoft environment, including:

• Microsoft Copilot

• Copilot Studio

• SharePoint

• Teams

• Outlook

• Power Automate

• Power Platform

You do not need to be an expert in every product on day one, but you must be technically confident and capable of learning quickly.

4. Automation

Find repetitive manual processes and determine whether they can be automated.

Work with management and staff to understand:

“What are we doing manually today that AI or automation should be doing for us?”

Then help turn those opportunities into working solutions.

5. Connect our existing systems

Our business already uses numerous specialist real estate platforms.

Your job will not necessarily be to replace these systems.

Instead, we want to understand how AI can sit across the organisation and help these systems, our people and our information work together more effectively.

6. AI accountability and management visibility

We want AI eventually helping us identify:

• Outstanding tasks

• Unanswered communications

• Follow-ups

• Problems

• Cases requiring management attention

• Tasks moving between departments

• Recurring issues

• Important commitments made to clients

• Processes that have stalled

You will help us design and implement this capability.

Who we are looking for

We care more about capability, intelligence, initiative and problem solving than having a particular degree.

The ideal candidate will have experience with some combination of:

• Microsoft 365

• Microsoft Copilot

• Copilot Studio

• Power Automate

• Power Platform

• SharePoint

• Teams

• Outlook

• ChatGPT or other major AI platforms

• AI agents

• Workflow automation

• API integrations

• Business process automation

• Knowledge management

• Process mapping

Experience with Australian real estate or property management would be helpful, but is not essential.

We are not looking for someone who waits to be given instructions all day.

We want someone who:

• Understands business processes, not just technology

• Can communicate with non-technical staff

• Challenges inefficient processes

• Can take an idea and drive it through to implementation

• Is comfortable dealing directly with senior management

• Wants to become the organisation's internal AI expert

Most importantly, when presented with a business problem, your natural response should be:

“Let me work out how we can solve this.”

This role has significant potential

This is not intended to be a short-term AI project.

We believe AI will fundamentally change how our business operates.

The successful candidate will have the opportunity to become the person who owns and coordinates AI across the Noonan organisation.

As our AI capability grows, we expect the responsibility and importance of this position to grow with it.

You will work closely with our Founder/CEO and management team and will have the opportunity to influence how AI is implemented across the company.
