Working directly as the key project support to the AI & Digital Project Manager, you will play an active role in driving project momentum by reviewing timelines, identifying deliverable risks, coordinating cross-functional user meetings, documenting process flows, and facilitating end-to-end requirement gathering through to User Acceptance Testing (UAT).

This role provides exceptional exposure to bank-wide AI and Data transformation projects, offering a structured growth path to groom into end-to-end Project Management.

Key Responsibilities

1. Project Schedule Review & Milestone Management

  • Partner closely with the Project Manager to review project schedules, evaluate milestone progress, and ensure critical-path deliverables remain on track.

  • Proactively identify schedule slippages, dependencies, and potential bottlenecks, working with team leads to propose solutions before delays occur.

  • Help prepare meaningful program status updates and executive summaries for stakeholders, focusing on key delivery risks, milestone achievements, and next steps.

  • Lead end-to-end meeting coordination, drive agenda alignment, and follow up closely on post-meeting action items across cross-functional teams.

2. Requirements Gathering & Business Analysis

  • Assist the Project Manager in eliciting, gathering, and clarifying functional and operational requirements from business users and frontline stakeholders.

  • Bridge communication between business user teams, IT developers, and Data Scientists to ensure user needs are accurately captured and addressed.

  • Map out clear "As-Is" and "To-Be" process flow diagrams and operational workflow specifications using Visio/Lucidchart.

3. UAT Execution & Documentation

  • Formulate comprehensive UAT test scenarios, prepare UAT test cases, and manage test data setup.

  • Support business users during UAT execution, log defects, and track issue resolutions with technical teams.

  • Draft and maintain end-user documentation, including user manuals, standard operating procedures (SOPs), and training guides.

4. User-Facing & Stakeholder Coordination

  • Serve as a confident, presentable point of contact for business users and operational teams.

  • Translate complex project/technical concepts into clear explanations for non-technical stakeholders.

Candidate Requirements

  • Education: Bachelor’s degree in Business, Information Systems, Computer Science, Data Science, or a related discipline.

  • Experience: 2–5 years of experience as a Business Analyst, Project Officer, or Project Support, ideally within Banking, Financial Services, Fintech, or Technology Consulting.

  • Core Skills:

    • Demonstrated hands-on experience writing UAT test cases, mapping process flow diagrams, and drafting user manuals.

    • Proven experience assisting PMs in requirement gathering, requirement clarification, and active milestone tracking.

  • Tools: Proficiency in MS Office (Excel, PowerPoint, Word), Visio/Lucidchart, and project tracking software (e.g., JIRA, MS Project).

  • Soft Skills & Presentation:

    • Highly presentable with strong interpersonal, communication, and user-facing skills.

    • Organized, proactive, process-driven, and comfortable operating under dynamic project timelines.

  • Languages: Excellent command of written and spoken English and Chinese (Cantonese and Mandarin).
