AI Project Manager & Business Analyst - Part Time - Camberwell

Salary: $100,000 to $120,000 FTE, pro-rated for part time

Demand for our services is growing as more small and medium businesses feel the pace of change picking up, so we're adding this internal role to keep us moving forward.

At its heart this is a project and implementation role. You'll run a portfolio of AI and automation projects end to end and embed them across the whole business, from how our coaches work to how our operations team runs.

This ad is probably longer than the others you're looking at, here's why: this role matters to us. We're not trying to cut costs or cut corners or cut staff. What you'll work on

The low-hanging fruit: improving how we work now

  • Collaborate with our team to understand how the work really gets done, then identify how to improve it with automation and AI.

  • As you see the work happening, you'll be in the perfect position to see our blind spots: what we're missing, what's being duplicated, where we're good but could be great.

  • Assist with integration of CFlow to our systems including Xero, Pipedrive, EziDebit and Annature.

  • Use the right-fit tool, whether that's Claude, Power Automate, the native AI tools within an application, or something bespoke.

  • Map current processes, understand the outcomes we're aiming for, sequence the work and keep it moving.

  • Know when to stop and move on to the next opportunity to improve our business.

  • Help us think about how to use AI and automation for the future versions of our business so we continue to lead from the front.

How we work

  • Your skills and experience will be valuable as you collaborate with the Managing Director, our senior business coach and the key people in our business who run the engine: finance, operations, marketing, client comms.

  • Projects are your strength so we'll protect your time so your days stay focused.

  • Because you'll be working with people who are available to collaborate at different times, embedded is best. 1% improvements happen 100% faster when we're together so working on-site in our professional office in Camberwell is preferred. The opportunities in this role only become obvious when you see in real time how people actually work, and can test and implement collaboratively.

What you'll bring

  • Experience implementing software or changing business processes in small to medium businesses. You might currently be an Implementation Consultant, Implementation Manager, Business Analyst, Project Manager, Business Improvement Lead, Service Delivery Manager, Solutions Consultant, Product Owner or something adjacent.

  • Solid project management fundamentals: scoping, requirements gathering, logical sequencing, and keeping work on track without a PMO behind you.

  • A business analyst's instincts. You map the process, ask why a step exists, and find the dependency everyone else missed.

  • Data literacy. You don't need to be a data analyst, but you do need to think logically about data: where it lives, what format it's in and whether it can be trusted.

  • Working knowledge of AI tools and automation platforms, and the judgement to pick the simple solution when it's the right one.

  • An outcome-first mindset. You care about what the technology does for the business rather than the technology itself.

  • The confidence to bring us an idea we haven't had and make the commercial case for it.

  • The communication skills to work with people who, like you, are outcome focused yet may not have the same level of technical expertise (or interest) as you.

Nice to have

  • Hands-on experience with Xero, Pipedrive, Power Automate, Claude Cowork or similar

  • Experience delivering software or process change into lower-tech industries such as trades, construction, manufacturing or professional services

  • Experience in a business that wasn't primarily a technology business
