Asset Inventory Specialist
Starting Wage Range: $24.60/hr. - $31.84/hr.
Essential Functions:
- Maintains all inventory records for capital and minor equipment assets; communicates, coordinates and reconciles information with Tribe’s inventory tracking system.
- Verifies proper classification of fixed high-risk assets.
- Assign inventory barcode tags to all capital and minor equipment assets.
- Responsible for completing a physical inventory of Capital equipment on a bi-annual basis including identifying equipment, tagging and updating inventory database.
- Maintains warehousing and surplus equipment inventory and records.
- Coordinates the distribution and redistribution of equipment; maintains historical files of all Tribal equipment.
- Reconcile inventory system for the removal of equipment from inventory; and coordinates distributions and disposals as needed.
- Reports the capitalized equipment/asset financial information to the Finance Department.
- Ensures Federal and State grant property management compliance.
- Identifies, researches and solves equipment inventory discrepancies.
- Coordinates removal and moving of tribal property as requested by Tribal departments.
- Process Purchase Orders in accordance with the Procurement Policy and Procurement Ordinance.
- Process Travel Requests in accordance with the Travel Policy and GSA standards.
- Provides back-up support to department staff in their absence or as needed.
- Generates a variety of reports as requested.
- Performs a variety of other duties as assigned by supervisor.
Education, Experience, and Licenses:
- Requires a high school diploma or GED. College course work in inventory management, purchasing, and computer training is preferred.
- Requires one (1) year of administrative experience; procurement and inventory management experience is preferred.
- OR equivalent combination of education, training and experience.
Driving Requirements:
- Employees may be required to drive for work-related purposes and must maintain a valid Oregon
Driver’s License (ODL), meet company vehicle insurance requirements, and provide proof of personal vehicle insurance.
Qualifications, Registrations, and Certifications:
- Requires ability to efficiently plan, schedule and accomplish a variety of activities and projects simultaneously and within appropriate time constraints.
- General understanding of using Laserfiche to process travel requests.
- Ability to establish and maintain effective work relationships in meeting and dealing with others.
- Ability to use computer application software packages used for spreadsheets, databases and word processing applications.
- Requires knowledge of inventory control and inventory control computerized database system preferred.
- Ability to be able to make decisions under pressure and time constraints.
- Ability to use Abilia to look up items needed to be inventoried and process Purchase Orders.
- Ability to make decisions on where items should be coded in the tribe’s budget for purchasing.
- Ability to make some decisions related to work order requests and follows standard practices, policies and procedures of the Tribe with minimal supervision.
- Knowledge of and sensitivity to Native American culture required.
Environmental Factors and Conditions/Physical Requirements:
- Continually requires the ability to express or receive detailed information or important instructions through oral communication.
- Continually requires working with fingers rather than the whole hand or arm. Requires repetitive movement of wrists, hands and/or fingers. Often requires walking or moving about to accomplish tasks.
- Requires standing and/or sitting for sustained periods of time, raising objects from a lower to a higher position and/or moving objects horizontally.
- Occasionally requires lifting of up to 50 pounds.
- This position is frequently subject to inside environmental conditions which provide protection from weather conditions, but not necessarily from temperature changes, and is occasionally subject to outside environmental conditions.
- Supports a safe work environment by performing all duties in accordance with Tribal safety policies and procedures, and Emergency Management Plan.
- Due to the nature of the interactions with other employees and the public we serve, employees may be required to provide documentation of, or receive, certain health vaccinations.
- May be called upon to serve as a Disaster Reservist during emergencies.
- Local travel is occasionally required. Travel outside of the state is infrequently required.
